Find your fit
Who it is for
It suits teams whose project files sit in personal drives and email threads. Start by testing one Team Folder for a real project and decide who owns the folder, who edits, and who only reviews.
My Folders is a personal area for team members, whereas Team Folders are shared spaces. Plan where long-lived team documents belong and test moving a harmless file between those contexts before migrating an archive.
The work it supports
Core capabilities
An administrator can decide who joins a Team Folder and what activities are allowed. Role-based permissions and customized subfolder access let a team give different members different views. Test a private subfolder with two sample roles before storing confidential documents.
Folder settings can restrict viewer downloads and external sharing. External links can have permissions and expiration periods. Check both team-level policy and link-level settings with a harmless outside recipient, rather than assuming every shared file is private by default.
A team can search for files by name, creator or document keyword and revisit older file versions. Try a realistic filename and a revision history in the selected plan, then compare a regular member’s view with an administrator’s.
Desktop Sync is described as allowing offline file work and syncing changes after reconnection. Check actual device support, offline access, conflict behavior and access rights with disposable files before using it for travel or field work.
Inactive Team Folders can be archived while preserving their structure and permissions. Pilot an archive and restoration with a test folder, including who may view it while archived.

Pricing and getting started
The public team grid names Starter, Team and Business and offers monthly/yearly and currency selectors. Its captured static HTML did not provide reliable numeric plan prices for the selected state. Obtain a live quote or checkout view for the currency, term, seats and tax you intend to buy. Standard team plans start at three users; one- or two-user buyers are directed to sales.
Starter lists 1 TB, Team 3 TB and Business 5 TB of shared storage for three to ten users. Their per-file upload limits are listed as 10, 50 and 250 GB. Storage grows for additional users but has plan caps; compare both the total archive and your largest file with the proposed tier.
Team adds administrative visibility and recovery features beyond Starter. Business adds custom workflow and management features beyond Team. Confirm the exact entitlement and access policy in the selected plan, especially if the proposed workflow depends on an administrative control.
Client users are listed as a separate add-on for external people with limited roles. The 5 GB Free plan is described for individual use, not as a free version of the standard team tiers. Ask for a quote covering external client seats if partners need persistent access.
Zoho advertises a 15-day trial with Business Plan features and a further 15-day window to upgrade. That statement does not establish long-term access or data handling after the window. Confirm export, downgrade and retention behavior before using the trial as an archive.
Look a little closer
Before you choose
For a short pilot, use blank or consented files: create a Team Folder, invite two roles, make a restricted subfolder, share one external link, revise and search a document, and try desktop sync on the devices the team actually uses. Record the observed permissions and the exact buying quote.
This research did not create an account, upload a file, share a link, start a trial or purchase a plan. Published feature descriptions should be checked in the intended plan and region before a sensitive migration.
