Zoho Invoice

What it does

Zoho Invoice helps a small US business prepare and send invoices, manage quotes and track payments. Set up tax, customer and template details with sample records before sending a real invoice.

An invoice can be created directly or converted from an accepted quote. Test the draft, quote acceptance, send, payment and correction path with sample records before treating the workflow as ready for customers.

Who it is for

The US offer can suit a small operation that needs customer billing without a subscription fee. Check the annual invoice count, user and project ceilings against a full year of activity.

Service teams can log project time and add unbilled hours to an invoice. Confirm staff access, billable entries and the customer-facing timesheet view with a small sample project.

Core capabilities

Use a template and logo to prepare branded invoices, email them or save them as PDF, and review payment terms and aged receivables. Check tax setup and the final document with a sample customer before live billing.

Quotes can set out work and price before a customer accepts; an accepted quote can become an invoice. Decide who may revise the quote and what happens after acceptance.

Online payment collection depends on a configured gateway. Verify provider availability, onboarding, payout timing and processing fees separately from the free invoicing software.

The customer portal can show invoices, quotes and payments after access is enabled for a contact. Test the invitation, document visibility and public-link identity setting with a separate sample customer.

Pricing and getting started

Zoho advertises its US Zoho Invoice product as forever free for small businesses. The current US pricing FAQ allows up to two users, three projects and 500 invoices per year, with 'Powered by Zoho Invoice' branding; compare those limits with a full year of expected work.

Zoho says it adds no fee for payments received through Invoice, while the connected gateway may charge for processing. Model those charges and any refund fees with the selected provider.

Before you choose

Zoho's current US pricing FAQ says associated data will be deleted in the subsequent 20 days if a user is inactive for over 180 days, with notice beforehand. To retain data, it says to log back in or create a backup; assign an account owner and test an export before relying on the account as an archive.

Review customer-portal and public-link settings before sending documents. Disabling the identity check can let anyone holding a public link view the associated invoice or quote.

Zoho Invoice's US help separates a transaction-data backup from uploaded-document and audit-trail backups. An Admin initiates the data backup; the guide says its download link expires after 30 days and another data backup cannot be started for 15 days. Before treating the account as an archive, check that the needed CSV/XLS transaction files, document ZIP and audit-trail ZIP can each be retrieved and opened. These exports and any recovery path were not tested here.

Before turning on Zoho Invoice payment reminders in a US account, review the three preloaded due-date rules and which are enabled. For each rule, check whether it sends to you, the customer or both, its before-or-after due-date offset, and the email subject and content. Zoho describes a separate expected-payment-date reminder as typically for your own follow-up. Verify the intended audience and timing with an authorized sample before live customer email.

Before activating recurring billing in Zoho Invoice, check the US organization's default and each recurring profile: generated invoices may be saved as drafts, sent for payment, or charged to an associated method and sent. A profile setting can override the default. For auto-charge, confirm the selected gateway and whether a method is associated or the customer opted to save a card for future portal transactions. Review the intended mode with the billing owner using an authorized sample before live invoices or charges.

Before closing a customer credit in Zoho Invoice, check whether it should reduce an invoice or document money already refunded. Zoho's US Help says a new credit note leaves the invoice's full balance in place until an open note is applied to a sent invoice. Its Refund action records a refund already made, with date, payment mode and amount. Have the billing owner verify the resulting invoice balance and match any refund entry to separate payment evidence before treating the case as complete.

When pausing recurring billing in Zoho Invoice, test an authorized synthetic profile with the billing owner. Disable Auto-charge switches off automatic charging for that profile; Stop halts new invoice generation and can later be reversed with Start. Delete removes the recurring profile, while deleting the customer’s stored card is a separate action. Before a real cancellation, check the pending schedule, already issued invoices, payment method and customer notice plan.

Before correcting a Zoho Invoice invoice, choose the record consequence. Void keeps an obsolete invoice in Zoho Invoice but prevents it from affecting accounts or reports. Delete removes the invoice record; for a paid invoice, its recorded payment must be deleted first. Write Off records a balance you no longer expect to collect as bad debt and marks the invoice Paid; canceling the write-off makes that balance outstanding again. Review the payment and record needs with the billing owner before choosing an action.

Before merging Zoho Invoice customers, choose the master record and compare currencies and transactions with fictional duplicates. Zoho’s US Help says customers must use the same currency to merge; their transactions are listed under the master, the other customers become inactive, and the merge cannot be separated back. Marking an inactive source customer active again does not restore its former transactions there. Have the billing owner verify which record should own the history before merging real customers.

Before correcting a recorded Zoho Invoice payment in a US account, decide whether the money should remain as customer credit or the payment record itself is wrong. The invoice payment Trash action offers to dissociate the payment and add it as customer credit, or delete the payment record entirely. Zoho says deleting all related payments updates the invoice status; available credit reduces a balance only when applied to an invoice. Have the billing owner compare the resulting status, unused credit and bank or gateway evidence with a fictional case before changing a real record.

Before allowing document forwarding in a US Zoho Invoice customer portal, review the Portal Preferences choice with the billing owner. Zoho says Allow customers to forward documents from portal lets customers forward invoices and quotes; when they do, the recipient is added as a contact person on the customer record. Rehearse with a fictional customer and recipient, compare the forwarded document and contact list, and separately check the recipient's portal access and the account's available settings. Confirm actual receipt before relying on the handoff.

After editing a Zoho Invoice invoice that has already been sent, check the customer handoff separately from saving the record. Zoho's US guide distinguishes Save from Save and Send and says to send an edited already-sent invoice again for the customer to receive the changes. In an authorized walkthrough with a fictional invoice and recipient, confirm edit rights, compare the saved version with the re-sent copy and verify actual receipt before relying on the revision. This profile has not operated an invoice or email.
