Find your fit
Who it is for
The Free tier is a plausible starting point for a very small team; Standard addresses a growing team that needs card feeds, policy controls or direct reimbursement, while Premium adds travel and more advanced controls. Finance and operations staff should map each expense type and approver before comparing tiers, because a feature on the homepage is not necessarily in the chosen plan.
A practical pilot is one fictional receipt expense, one card expense and one report requiring an approval. Use those cases to check who enters an expense, who corrects its category and who can approve it. Add a travel request only if travel booking is part of the intended rollout.
The work it supports
Core capabilities
Receipt Autoscan can read a photographed receipt and create an expense record. Employees can also forward emailed receipts to a personalized address, import cloud-stored receipts or add receipts in bulk. Compare the extracted amount, date and category with the original receipt before approving a report.
Employees can group expenses into reports, apply an advance and download a report PDF. Zoho also describes rules that add expenses to a report and submit it automatically. Check the submission trigger and who can still correct a report before turning that automation on.
A default approval can follow a hierarchy with out-of-office substitutes and reminders. Teams with a more complex sign-off path can configure non-linear or multi-stage approvals. Test a routine claim and an exception to see where each report actually lands.
Corporate-card feeds can fetch Visa and Mastercard transactions, and Zoho describes matching receipts to transactions even when the receipt arrives later. That gives finance a way to reconcile spending without treating an unmatched feed item as a verified claim.
Policies can be assigned across departments, branches or cost centers and define expense ceilings or when a receipt is required. A duplicate check compares date, amount and currency, then leaves a choice to remove or retain the flagged item. Review false positives before building an approval rule around the alert.
For US and Canadian organizations, Zoho describes online ACH reimbursement through CSG Forte after the organization and employees are set up. It also supports carrying an unused cash advance forward and syncing settlement information with ERP or payroll systems. Confirm the actual payout setup, timing and system mapping with the selected organization and provider.
The travel workflow includes flight, hotel and car booking with policy checks during selection. It suits teams that want trips to follow the same approval and expense trail; verify country coverage and the purchased travel entitlement before moving bookings into the platform.

Pricing and getting started
The viewed US pricing page lists Free for up to three users, Standard at $4 per user monthly or $3 with annual billing, and Premium at $6 or $5. The Canadian page instead displays C$5/C$4 for Standard and C$9/C$7 for Premium. These are viewed regional displays before local taxes; confirm currency, term and checkout rate for the organization.
Free includes reports, personal-card expense tracking and OCR receipt capture. Standard adds corporate-card feeds, multiple policies and direct bank reimbursement, with ERP/HRMS integration labelled an add-on. Premium lists employee self-booking, travel inventory, guest booking and advanced approval controls. Verify the actual entitlement in the selected country and subscription.
The US FAQ puts Autoscan at 20 receipt scans per user each month on Free or Trial, 200 on Standard and 1,000 on Premium. Once the quota is used, expenses can still be entered manually and receipts uploaded for recordkeeping. Estimate real monthly receipt volume before deciding that a low-price tier covers the workload.
The US page offers a 14-day trial without a credit card. It also lists a Travel Add-on at $9.99 per self-booked trip and says an additional user is charged if they create expenses or reports during the billing cycle. Confirm how that usage rule and any travel add-on apply to the contract actually selected.
Look a little closer
Before you choose
Check whether the organization needs card feeds, advanced approvals, travel booking or online reimbursement, then compare those needs against plan rights and country availability. The US/Canada ACH route names a specific provider, while the pricing pages differ by region; neither should be assumed universal.
For a low-risk evaluation, use fictitious expenses to test receipt extraction, a late card receipt, a duplicate alert, an approval exception and the report output. Record which steps require manual correction and compare that against the receipt-scan allowance. Do not test a real payment or travel booking merely to assess the reporting workflow.
