Find your fit
Who it is for
A small team can start with the Free edition for up to three users. Check which records and activities the actual team needs before assuming its day-to-day workflow fits that edition.
The paid editions are positioned for teams at different stages: Standard for a small team, Professional for growing automation needs and Enterprise for a mature sales organization. Compare the actual feature table rather than using those labels alone.
The work it supports
Core capabilities
Keep the contacts important to the business in a shared CRM record set. Test ownership, duplicates and visibility with real user roles before importing a complete address book.
Track different sales operations in multiple pipelines and review the stage of each opportunity. The public US pricing page lists multiple pipelines under Standard, so confirm the selected edition and any limits.
Record tasks, meetings and calls as sales activities, with reminders for follow-up. Run a sample lead-to-deal process to see whether activity history and notifications fit the team’s habits.

Pricing and getting started
The public pricing page describes a continuing Free edition for three users. Standard, Professional and Enterprise are paid editions with trial calls to action; verify the chosen currency, billing term, tax and final seat total before purchase.
Zoho's edition comparison shows Free and several paid options. Compare the current feature table and final billing terms for your region before choosing a tier.
Look a little closer
Before you choose
The pricing page describes workflows for lead routing and field updates. Check which rule triggers, actions and limits are available in the intended edition before designing an automated process.
Free lists standard reports, while the Professional plan promotes expanded reporting. Define one management report and verify its fields, filters and access under the planned license.
Pilot a small spreadsheet import, then inspect contact duplicates, lead ownership, deal stages and activity reminders with an ordinary sales user. Measure the configured process rather than treating an available module as proof of team adoption.
For a Zoho CRM migration or account exit, test a module CSV/XLSX export and ask an administrator to create a complete data backup. Zoho says the backup is the route for all module data, attachments and configuration; both module-export and backup download links expire after seven days. Check a representative record and attachment, and plan separately for IMAP-configured email, which the backup does not support.
Before a bulk Zoho CRM import, copy the file and test a small authorized subset. In the current import tool, verify whether Add, Update or Both is selected, which unique field matches existing records, and whether Trigger automation and process management for imported records is checked. Zoho says added records can be undone under its import-history process, but updates to existing records cannot be reverted. Check the mapping and automation effects before submitting the full file.
Before assigning sales access in Zoho CRM, test a fictional contact and deal using a salesperson account and a manager account. Roles set the record hierarchy, while profiles set module actions such as View, Edit and Delete; Zoho says a manager still needs the relevant module permission, and a shared record does not override the recipient's profile limit. Check who can see each record and whether either account can edit it under the planned roles, profiles and sharing settings. If the workflow depends on sharing individual records, verify the edition: Zoho lists that function for Enterprise and Ultimate and requires the module's Share permission.
Before relying on Zoho CRM for private customer correspondence, distinguish mail synced from an IMAP/POP mailbox from email sent inside CRM. Zoho's Email Sharing settings include Private, Custom and Public choices for integrated mail, while its Data Sharing Settings separately control CRM-sent email. Zoho says CRM-sent email defaults to Public Read/Write/Delete but can use Private or narrower public access. A private mailbox setting alone therefore does not establish who can view CRM-sent messages. Have an administrator check both settings and record access, then test a fictional contact and message with the intended roles before real customer mail.
Before cleaning duplicate records in Zoho CRM, review which record and field values will survive. Zoho limits a merge to three records, permanently deletes the duplicates without an undo path, and moves notes, attachments and activities to the master. A manual Find & Merge can fire edit/delete automations, while auto-merged records do not fire those triggers. Have an administrator check the planned master record and workflows, then trial the process on disposable records before a large cleanup.
Before an ordinary delete in Zoho CRM, inspect the associated records. Zoho says deleting an Account also deletes its linked Contacts and Deals, and a deleted record takes associated notes and open or closed activities with it. Deleted records enter the Recycle Bin for up to 60 days unless an administrator permanently removes them sooner. Bin visibility depends on role hierarchy and record permission; administrators can see all deleted records and only administrators can purge them. Ask an administrator to test a disposable parent-and-child set, confirm what restores, and check permissions before bulk cleanup.
Zoho CRM Assignment Rules can route records that arrive through an import, webform or API, but they do not run for a record created manually. A webform can name one owner for every submission or use an assignment rule; configuring rules requires the Assignment Rules & Threshold permission. Check the order of rule entries, since it controls their evaluation, and confirm intended assignees have activated their user accounts: Zoho says an unconfirmed user will not receive ownership. Before relying on automatic lead routing, use fictional leads to check each planned intake path, the assigned owner and the unmatched-record fallback.
Before converting leads into existing contacts, compare a fictional lead and contact on paper: give one mapped lead field a conflicting value against a populated Contact field, and leave another Contact field empty. Zoho says lead values transfer to Contact fields only when those fields are empty. A record owner with read-only Account or Contact access can still convert and merge without updating those records' fields. Confirm the intended match, mappings and Convert Leads permission before proceeding; Zoho says conversion cannot be reverted.
For a fictional Zoho CRM Deal moving from Qualification to Negotiation, inspect the Blueprint transition owner and required During Transition fields. Zoho says a required field can become editable to that owner during the transition even when the profile normally makes it read-only; configured mandatory values and validation must pass before saving. Have an authorized admin test the intended user's field access during and after a harmless transition. Blueprint starts with Professional, so confirm the selected edition and check record and module access separately.
