Find your fit
Who it is for
It suits a growing team that needs a repeatable way to teach work: operations can own an SOP, managers can assign onboarding, and staff can search the shared knowledge base instead of asking for the latest file.
Waybook is especially worth a look when documentation and training must stay together. If the organization needs formal content approval, review dates or finer document rights, those controls are listed in Pro rather than Core.
The work it supports
Core capabilities
Collect procedures, policies and reference material in one searchable knowledge hub. Use consistent subjects and documents so a new teammate can find the process that applies to their role.
Build SOPs from templates or draft material with Waybook AI, then have a process owner revise the instructions as the work changes. Revision history records what changed and who made the edit.
Assign a structured onboarding route to a new hire. Waybook describes automatic training enrollment and position-based release schedules so material can arrive in stages instead of as one large handbook.
Add tests and assessments to documentation and track progress and completion. A manager can see whether a person has moved through assigned training and check understanding with a quiz.
Search the knowledge base or use Waybook AI Ask to find an answer. Staff should still open the source procedure for a consequential task and check that the document remains current.
Set document access around who may view, edit or manage a subject or document. The richer manager and advanced-permission controls are plan dependent, so test the chosen tier with fictional restricted material.

Pricing and getting started
The reviewed pricing screen is set to 20 seats. Core shows $99 per month when billed annually or $119 on the monthly choice, plus $5 or $6 per additional member respectively. Pro shows $198 or $238, plus $10 or $12 per extra member. Confirm the currency, seat count, billing interval and current checkout total before buying.
Waybook advertises a seven-day free trial with cancellation available. Enterprise has custom setup and pricing on request, and the pricing page points teams above 500 seats toward a custom discussion.
The current plan table lists unlimited subjects, documents and steps, AI writing, progress tracking, tests, search, templates, revision history and learning paths in all plans. It also lists external sharing, PDF export and Waybook Shots across Core, Pro and Enterprise.
Pro adds advanced permissions and manager role, document verification with review dates, an approval process, knowledge confirmation steps and full version history. Those additions matter if the knowledge base must support formal sign-off or periodic policy review.
Look a little closer
Before you choose
Pilot a real but non-sensitive procedure: create it from a template, assign an owner, edit one step and inspect revision history. Ask a new teammate to locate and follow it without help.
Run a fictional onboarding path with two roles and a short quiz. Check enrollment, staggered release, completion tracking and what a manager can actually see in the selected plan.
If procedures need formal approval or scheduled review, compare Pro’s controls against Core before building the library. Test reader, author and admin access with fictional documents and verify that restricted content stays restricted.
Budget for the expected seat count rather than just the 20-seat headline. Ask Waybook for the selected currency, annual or monthly commitment, extra-member rate and trial-to-paid transition in a current quote.
