Find your fit
Who it is for
It suits an organization that needs staff to find an approved procedure and follow its steps consistently, such as an operations, service, onboarding or quality team. Name an owner for each procedure and decide which steps need evidence or supervisor review before moving a manual into the product.
The platform is more structured than a shared document folder. Editors can take a procedure through review and publication, while a worker can use an Activated Checklist beside the reference material. That structure is valuable when the organization is prepared to maintain roles, versions and checklist designs.
The work it supports
Core capabilities
Teams can author and maintain policies, procedures and process documents in one place. A documented step can later be linked to a checklist, so the reference material and the work instruction stay connected.
A procedure can move from Draft to Pending Review, then Published or Retired. Editors can gather comments and approvals while it is in review. Pilot that sequence with a fictional procedure to decide who may approve and who will update it when work changes.
Publishing is a meaningful switch: the vendor says acceptance, task and revision-reminder notifications begin only when the procedure reaches Published. A retired procedure is removed from view and stops notifications, while its edits remain retained. Check those transitions before replacing an existing policy.
Activated Checklists turn a repeatable procedure into steps used during a job or activity. A step can point to an established procedure, be marked mandatory or optional, depend on another step, and be assigned to a role. These controls are most useful when the team agrees what completion means for each step.
Checklist instances provide a progress indication, comments and a supervisor sign-off option. Management can access all instances under the described model, while ordinary users see those they work on. Verify the actual role settings before using checklists for confidential operations.
SOP visibility and editing rights can be set by role, team or individual. A practical pilot should test an editor, reviewer, frontline user and manager against the same sample procedure and checklist.
The feature overview also describes acceptance of updated policies and procedures. Treat a signed acceptance as an acknowledgment; the organization still needs to decide whether training or a demonstrated task is required for a high-risk process.
Policies and procedures can be exported as PDF through the Print option. Try a representative procedure with attachments before relying on that output for a migration or backup.

Pricing and getting started
The viewed Entry subscription is displayed at USD $99 per month for ten team members. Additional members are offered in blocks of ten, but the page does not show the added-block price. Confirm currency, tax, member count, payment term and final quote for the buyer’s region.
The pricing page points larger customers to Growth, Mission Critical and Enterprise conversations, with the larger offering described from 50 team members. Unlimited procedures/processes and templates are listed across plans, but support and other entitlements may differ; get the plan details in writing.
Way We Do’s help center describes a standard 14-day trial with most functionality; the procedures/templates Marketplace is held until subscription. Separately, the pricing page offers a 30-day money-back guarantee on an Entry subscription. Check both terms before putting real operational material into a trial.
The FAQ says content uploaded by the customer remains its intellectual property and may be exported, while vendor-supplied procedure templates are licensed. Confirm the desired export format and any help needed to leave the service before a large manual migration.
Look a little closer
Before you choose
Start with one frequently used procedure, one owner, one reviewer and a small Activated Checklist. Observe whether the published procedure matches what staff actually do, then revise the step design before expanding across departments.
Check the exact access and notification path for Draft, Published and Retired content. A document that is saved but not Published may not trigger the acceptance, task or revision reminders the team expects.
Estimate costs from the Entry ten-member allowance and any additional ten-member blocks, then ask about larger plans if the team is near 50 members. Plan a PDF/export test and distinguish the 14-day trial from the paid Entry refund window.
