Who it is for
Sales teams handling inquiries from several channels can use lead capture and routing to put new work in front of the right representative. A small sample of real lead sources will reveal whether the routing criteria suit the team.
Teams that need shared account context can bring contacts, related deals, quotes, notes and interactions into a contact record. Test a sample import and duplicate review before replacing an existing contact list.
A small business considering a no-subscription starting point should compare Cloud One Pilot with the self-managed Community edition. Pilot has defined free-plan limits and optional Booster packs; the downloadable edition brings hosting and maintenance responsibilities.

Core capabilities
Vtiger describes lead capture from websites, email, social channels, phone calls and events. Assignment rules can use criteria such as location, deal size, availability or language. Check both the input connection and routing behavior with a sample inquiry.
Contact records can include organization, deal, quote, interaction and note context. The vendor describes imports from Google Contacts, CSV and vCard files; a small import is useful for checking field mapping and duplicates.
A team can work with contacts from the record through supported communication channels and mention colleagues in an interaction. Confirm the needed email, phone, SMS or WhatsApp connection and its edition entitlement.
Deals appear as a list or Kanban cards. Vtiger describes multiple pipelines and moving a deal between stages in Kanban view, so teams with distinct sales motions can test separate stage sets.
One View brings deal information together. Deals may also link to quotes; quote line items can sync when that setting is enabled. Check the specific quote process before assuming it covers the full approval or ordering workflow.
The Actions page groups calls, meetings and tasks by urgency and provides reminders. Vtiger also describes automation for lead assignment, autoresponders and follow-up reminders; availability depends on edition and configuration.
Sales insights and custom reports can expose open deals and pipeline activity. Build the exact manager view needed in a trial rather than assuming every report comes ready to use.

Pricing and getting started
Vtiger lists One Growth, One Professional, One Enterprise and One AI Cloud editions. Standard licenses cover the edition’s included apps, while Single App licenses give role-specific access with view-only access elsewhere. Compare the edition matrix and license mix before estimating seats.
The site advertises a 15-day trial without a credit card. Use the trial to test the team’s actual workflow and confirm edition-specific entitlements before committing.
One Pilot is a free Cloud edition with core contact and pipeline capabilities. Vtiger offers optional Booster packs to raise some limits. Before choosing it, check current limits and which modules are view-only or unavailable.
Vtiger Community is a separate downloadable open-source deployment. The vendor explicitly calls out hosting, maintenance, support and upgrade costs, so compare those operating needs with a Cloud subscription.
The displayed subscription price depends on edition, Standard versus Single App seats and monthly versus yearly billing. Verify current currency, taxes, add-ons and renewal terms in Vtiger’s checkout or quote.
Look a little closer
Before you choose
Run a short end-to-end trial: capture an inquiry, assign its owner, link a contact, create a deal, move it between stages and close a follow-up task. This exposes routing and stage-setting friction early.
For a migration, import a small contact sample and inspect fields, duplicates, related records and team access. Then check whether the communication channels and reports the team expects are available in the intended edition.
If a paid Cloud account might later move to One Pilot, check record and module limits before relying on a downgrade. Vtiger says excess records have to be reduced before it completes, and advanced features may no longer be available.
Choose between Pilot, paid Cloud and Community based on the actual workflow and operating capacity. A free Cloud tier and an open-source download have different feature limits, licensing and maintenance implications.
