Find your fit
Who it is for
The clearest fit is a services business managing multiple client projects, resource allocation and several contract types. Start evaluation with one representative engagement: a proposed fixed-fee phase, a time-and-materials change and a contractor. Map who approves the quote, who staffs the work, who logs time and who releases an invoice.
VOGSY's paid rollout is sized for a larger team: the pricing FAQ states at least twenty subscribed users and one Super user after trial. Lite users are for their own work and time, Full users manage front-office projects and resources, and Super users administer finance and settings. List actual duties before assigning seats or sharing sensitive margins.
The work it supports
Core capabilities
An opportunity can contain an estimate project with deliverables, calculations and a budget. VOGSY uses those details to assemble a quote, then follows the organization's configured approval rule before it is sent. Pilot one scope revision to see how the project and quote stay aligned.
The delivery structure divides a project into deliverables and activities, each carrying planned costs, sales value and assigned resources. Activity rates can be configured by currency and contribute to budget and quote calculations. Agree on the rate card and work categories before importing a large project portfolio.
A project planning view places planned hours on a timeline and lets a manager drill down to deliverables, activities, tasks and allocated people. The utilization chart separately shows availability, planned opportunity and project work, and time off. Compare both views before accepting new work, especially when the same specialist serves several projects.
Timesheets capture billable and nonbillable work and move entries through submission and approval. An organization may prefill them from the individual's resource plan, but the person should confirm the actual hours and project activity. Internal and unbilled work still needs a clear category so cost reporting is meaningful.
Billability follows the invoicing method on each deliverable. A project can mix time-and-materials work, agreed fixed-price work and recurring subscription or retainer components, so the same hour may affect project cost without becoming a separate customer charge. Test the contract's real mix before automating billing.
Draft invoices draw on current hours, rates, deliverables and billing rules, then go to a project manager for approval before being sent. Check the draft against the contract, expense treatment, currency and tax settings; the presence of a prepared invoice is not proof it has been reviewed or delivered.
VOGSY offers refreshable spreadsheet reports in Excel or Google Sheets, including planned-versus-actual work and invoice views. A finance owner can make a small copy, refresh it and confirm that the intended data and access rights carry through before relying on it for recurring management reporting.

Pricing and getting started
The public USD page lists annual-prepaid monthly equivalents of $16 Lite, $33 Full and $65 Super per user. Choosing monthly billing raises those to $17, $35 and $70. The standard commitment is a prepaid year; the pricing calculator and actual contract should confirm the currency, tax, seat mix and term for the buyer's region.
After the free trial, VOGSY states a minimum of twenty users with at least one Super user. The $5,900 onboarding pack is mandatory and covers setup, business mapping, uploads, integration configuration and Super-user training. Budget those fixed and minimum-seat costs alongside the per-user price, even if only a small subgroup needs financial access.
Integration and dashboard costs can sit outside the core licence. The viewed USD page lists $116 per month for each connected accounting, CRM, issue tracker or API integration on annual terms, and $128 on monthly billing; Looker platform and viewer/creator licences are separate. Ask for an itemized quote based on the systems actually needed.
Lite users can work with their own tasks, planning, timesheets and expenses; Full users add opportunity, project and resource management; Super users add back-office functions. Assign access from real duties, and confirm the expected front-office and back-office screens in a trial before expanding seats.
Look a little closer
Before you choose
A useful pilot follows a fictional client engagement from estimate to approved quote, staffed deliverables, submitted time and draft invoice. Compare the actual outcome with the contract for a fixed-fee component and a time-and-materials component, then review who can change rates, approve time and release billing.
Before a larger rollout, ask the services and finance owners to agree on activity codes, per-currency rates, reporting definitions and the required integrations. Test a spreadsheet report refresh and one changed resource plan, then compare the complete twenty-seat-plus-onboarding quote with the expected operating benefit. Confirm the free trial's duration directly because it is not stated on the viewed pricing page.
