Vikunja

What it does

Vikunja is an open-source task manager for keeping personal and team work in projects. Tasks can be assigned, viewed as lists or boards, and planned around due dates. Buyers can run the core on their own server or pay for Vikunja Cloud hosting; optional Pro is a separate self-hosted upgrade currently in private beta.

Who it is for

For an individual, Vikunja can turn a collection of to-dos into projects with reminders and repeat schedules. Someone comfortable operating a server can use the free self-hosted core; otherwise the paid Personal Cloud tier removes server upkeep.

A small team can share projects, assign work and switch between list and Kanban views. A team choosing hosted Cloud should check user count and the Family versus Organization structure rather than assuming every tier supports the same collaboration needs.

The work it supports

Core capabilities

Project structure. Place tasks in projects, then use subprojects for related work. Share a project with a person or team and assign tasks so ownership is visible when several people contribute.

Multiple views. The same tasks can be approached through a list, Kanban board, Gantt chart or table. Use a board for work status, a Gantt chart for timing, or a table when task attributes need inspection.

Task scheduling and detail. Add due-date reminders, repeated tasks and subtasks. Labels, attachments and task relationships add context; saved filters narrow the view to the work someone needs next.

Migration and sharing. Built-in import paths are listed for Todoist, Trello and Microsoft To-Do. Project share links can give view or edit access without an account, so set and test link rights before sending one outside a team.

Connected tools. Vikunja lists CalDAV integration for use with compatible tools. Try the actual calendar client and task fields before relying on a two-way workflow.

Pricing and getting started

The AGPLv3 self-hosted core is free for personal or company use with core features included. The operator remains responsible for the server, upgrades and backups; the installation guide offers a combined API/frontend binary or Docker container.

The current Cloud page displays Personal at 4€/month, Family at 10€/month for up to five users, and Organization at 5€ per user/month, plus separate annual totals. Cloud supplies managed hosting, backups, updates and TLS; compare the actual user count and current checkout terms before subscribing.

Every Cloud tier advertises a free 14-day trial and cancellation at any time. Pro is separate: it adds self-hosted administration and time tracking, with audit logs on higher tiers, and is currently in private beta. The current Pro plans do not apply to Cloud accounts.

Look a little closer

Before you choose

Pilot one realistic project: make subprojects, assign tasks, add a recurring deadline, and compare list and board views. That reveals whether the organization and collaboration model match the team's actual work.

Before inviting outsiders, test a project share link with the intended view or edit rights. If replacing another task tool, import a small sample and inspect labels, dates, attachments and relationships rather than assuming every field transfers.

Decide who will own backups and updates on a self-hosted instance, or compare Cloud's managed scope and per-user costs. For later movement between them, try a small export/import because the vendor describes portability but an actual migration was not tested here.

Treat Pro as a separate beta decision. Verify the exact feature and availability with Vikunja before relying on admin, time-tracking or audit workflows, particularly for a Cloud account where current Pro plans do not apply.
