UseResponse

What it does

UseResponse brings customer inquiries into a Help Desk inbox, where a team can route, answer and track tickets. Email, a website widget and enabled chat channels provide entry points. The wider product family also has Feedback and Knowledge Base tools, so buyers should identify the exact module or suite they intend to use.

Find your fit

Who it is for

It fits a team that handles recurring support email and needs shared ticket status, assignment and internal follow-up. The vendor positions it for small businesses through enterprises, and offers a cloud version plus an annually billed on-premise option.

A company with several products or regions may also value separate support centers and knowledge articles. Feedback collection is a separate product choice; check whether the team needs that module rather than assuming it is included in a Help Desk-only purchase.

The work it supports

Core capabilities

Start with the mailbox. UseResponse can turn forwarded or connected email into tickets, but the setup guide distinguishes cloud forwarding from self-hosted POP/IMAP setup. Test inbound delivery and a reply with a fictional address before connecting a live support mailbox.

Agents can work incoming requests in one inbox and create queues based on conditions. A board view offers another way to see work by stage; teams should decide which queue and owner is accountable for each class of request.

A website or app widget can gather a request without sending the visitor to a separate help center. Live chat and messenger support are additional enabled channels. Check the chosen deployment and channel setup, then make sure visitors can see when to expect a reply.

The help center can pair answers with a request path for questions that remain unresolved. The Knowledge Base module organizes articles and FAQs by category and can provide multiple help centers; publish a small set of real answers before relying on self-service.

Ticket statuses describe the state of a request. UseResponse documents Opened, On Hold, Awaiting Reply and Completed, plus custom statuses. On Hold can pause the SLA timer, so the team should define when a ticket genuinely waits on another party.

Triggers can update statuses, notify agents and route tickets based on conditions. The setup guide also describes assignments by workload or availability and business-hour-based SLA targets. Run one fictional request through the rule before applying it to a whole inbox.

Internal notes let agents discuss a request, and a ticket can hold private tasks assigned among staff. A task can be completed or reopened without creating a separate customer ticket; test who can see those notes and tasks before handling sensitive issues.

The product page lists reply time, resolution time and customer satisfaction among its support measures. These reports become more useful when the team uses statuses and assignment consistently; verify a sample ticket’s timestamps before using them as a service target.

Understand the offer

Pricing and getting started

UseResponse prices by support agent, and administrators also count as agents. The current public page distinguishes selectable Help Desk + Live Chat, Feedback and Knowledge Base solutions from a complete Cloud Support Suite that includes all three. Confirm the selected bundle before comparing per-agent prices.

The static pricing card shows $49 per agent per month for Enterprise Cloud Support Suite, with monthly and annual selectors. Its on-premise card shows $120 per agent per month but says annual-only, starts at five agents, and also lists an extra-agent annual amount. Confirm the actual seat count, term, deployment and total in a current quote because these card elements do not by themselves establish one final bill.

The FAQ says Cloud can be paid monthly or annually, with 20% off annual payment, while on-premise is annual-only. A 14-day full-feature Cloud trial requires no card; the vendor says an on-premise server trial is unavailable without a subscription. Test the cloud workflow if self-hosting is a deciding factor, then review any differences with the vendor.

The pricing FAQ says removing UseResponse names or logos from outgoing email requires a separate branding-removal purchase. Include that charge, any selected modules and support-agent seats when comparing a complete suite with a narrower Help Desk subscription.

Look a little closer

Before you choose

Use a fictional email to trace arrival, queue, assignment, response and completion. Check the sender and reply address, whether the ticket’s status changes as expected, and whether the intended agents get notified.

Check the Hold and Awaiting Reply states with sample requests. Pausing an SLA while a customer waits for a reply can change service reports, and the vendor documents status-change email notifications; the team should agree on the meaning of each state.

If visitors will use a help center, try one common question and one unresolved issue. Confirm the article is discoverable, the widget or contact form creates the right kind of request, and customer access is appropriate for each portal.

Keep Help Desk, Feedback and Knowledge Base costs separate when shortlisting. The public page mixes selectable solutions with a suite and dynamic term controls, while on-premise has an annual five-agent minimum; get the exact module, deployment, seats, term, branding rights and total confirmed before paying.

If internal notes, tasks and automation are important, verify them with harmless data before live traffic. An assigned private task, a status trigger and a customer-facing reply should each reach only the intended audience.
