Tradify

What it does

Tradify follows a trade job from first inquiry through quote, schedule, field work and invoice. The shared job record ties staff activity and time to the work being billed. It is designed for contractors who need a practical field workflow as well as customer-facing documents.

Find your fit

Who it is for

Electrical, plumbing, gas, HVAC and property-maintenance teams are among the intended users. A small shop may need only job scheduling and invoices; a growing team should check whether it also needs inquiry intake, subcontractor coordination, timesheets and job costing, because those rights differ by tier.

Before importing customers, sketch one representative job: how the request arrives, who prices it, who schedules the visit, what field staff must record, and when the invoice goes out. Test this with fictional data so a team's paper handoffs are mapped before real work depends on the system.

Core capabilities

Customer inquiries can enter through a web form or an email inbox, then be actioned into a linked customer, quote, job or invoice. Route a fictional request through each outcome and check who receives it; intake is useful only if the office has a clear triage habit.

Quote templates, price lists and reusable kits of time and materials help assemble a consistent estimate. Buyers can choose among quote options and accept or decline online, and an accepted quote can be turned into a job or invoice. Preview taxes, optional items and approval language before sending a real offer.

Automated quote reminders can follow up when a proposal has no response. Set a reminder window that matches the job type, and check the message with a fictional customer so a revised or withdrawn quote is not chased by mistake.

The scheduler assigns jobs and notes to staff or subcontractors and offers several calendar views. A Google Calendar connection can show other appointments alongside jobs. Test a conflicting appointment and a reassignment before dispatching crews; the scheduling view should reflect how the business actually shares availability.

Job records can carry custom statuses, tasks, photos, notes and videos linked to the customer. Agree on what field staff must record at each stage, especially changes in scope or materials, so the office can bill from a useful history rather than from memory.

Staff can record labor with a live job timer or digital timesheets and move recorded hours into invoices. Compare a timed visit with a manually corrected timesheet, including nonbillable time, before using the data for job costing or payroll-adjacent decisions.

Invoices can be emailed from the job; progress invoicing supports upfront deposits or scheduled payments. Tradify also shows whether an invoice was opened and can send unpaid-invoice reminders. Check the invoice and reminder sequence with fictional records before enabling automatic customer messages.

For online card collection, the viewed US page describes a Tradify-to-Stripe connection. Xero and QuickBooks Online synchronization can move invoice-related data onward, but Tradify's Help Centre says it is not a full accounting system for tax liabilities, cash flow or bank reconciliation. Decide where the accounting source of truth lives before connecting the two.

Pricing and getting started

The viewed US pricing page lists Lite at $47, Pro at $51 and Plus at $61 USD per user per month; Custom asks buyers to request a price. The Canadian page instead lists $62, $68 and $80 CAD respectively. These are regional displayed rates, so check the account country, user count, term and final checkout quote before budgeting.

Lite covers core jobs, schedule, quotes, invoices and accounting sync. Pro adds the branded inquiry form/inbox, quote-option acceptance, progress invoicing, costing and timesheets. Plus adds SmartTools, purchase orders and more reporting. Match the needed workflow to the tier rather than assuming every feature shown during the all-features trial survives on Lite.

Instant Website is optional, displayed at $12 USD monthly on the US page and $16 CAD monthly on the Canadian page. The viewed US Stripe-payment page also lists 3.1% of invoice total plus $0.30 per successful card charge and a choice about passing that fee to the customer. Confirm regional payment terms and legal rules before enabling surcharges.

Tradify offers a 14-day trial without a credit card and says all features are available during it. Choose the intended paid tier before testing so a Pro or Plus feature does not become an accidental dependency for a Lite rollout.

Look a little closer

Before you choose

For a safe pilot, use a fictional inquiry, build two quote options from a small price list, accept one internally, schedule a visit and record sample time and materials. Generate an invoice but stop before sending it or charging anyone. This end-to-end pass reveals where permissions, missing job notes or pricing rules need attention.

Before rollout, compare the country-specific plan and payment pages, count all users, and confirm whether the inquiry inbox, timesheets, recurring work or SmartTools require a higher tier. Decide whether Xero or QuickBooks will handle tax and bank reconciliation, then verify the first synchronization with harmless records.
