Find your fit
Who it is for
Small companies and teams moving leave requests out of paper forms and spreadsheets are the clearest fit. The shared wallchart helps a manager review overlapping absences before agreeing to a date; staff can see their own remaining allowance and upcoming time off.
Teams with different departments or schedules can examine how manager assignments, minimum staffing settings and personal working weeks appear together. Confirm the controls in the selected plan with a realistic staffing scenario.
The work it supports
Core capabilities
An employee selects dates in Timetastic and sends the request to a manager. The manager can approve or decline from an email; the wallchart shows pending requests beside colleagues’ availability. Try a deliberate overlap to see whether the approval path fits your policy.
Each person gets a calendar and annual summary showing past and upcoming time off and remaining allowance. An administrator sets annual entitlement, and bookings update the record. Before rollout, check part-time patterns and a midyear starter against your written leave policy.
The shared wallchart shows who is away and supports requests from that view. Department filters, designated managers and minimum staffing levels are described on the vendor site. Test whether the chosen plan flags an understaffed date in the way your managers expect.
Timetastic can track more than annual holiday, including sickness, maternity, sabbaticals and custom absence reasons. Custom types appear in employee summaries and can be downloaded or reported. Decide which types affect allowance and who may see sensitive absence labels before importing records.
Public-holiday data covers a wide set of countries and regions. Set a sample employee in each location and inspect observed dates before using balances for a distributed team; regional calendars and company policy can differ.
The vendor describes Outlook/Office 365 and Google personal-booking connections plus subscribable iCal/Webcal feeds for team absence. Verify the direction of updates with a test calendar.
Optional daily and week-ahead absence emails can tell recipients who is away. Check the recipient rules and whether those notices expose more absence detail than each audience needs.
Timetastic also describes a rota workflow that publishes shifts, records clock events and builds timesheets. A frontline team can test that path with one shift and compare the resulting timesheet with its pay process.

Pricing and getting started
The current pricing display shows Business at $1.50 per user per month. It lists unlimited users and departments, a shared absence calendar, leave allowance records, approvals and mobile/desktop access. Confirm the displayed currency, local tax and billed headcount at checkout.
Pro is displayed at $2.50 per user per month and adds leave-type booking limits, absence trends, company-wide reports and enhanced profiles. The comparison grid describes booking limits as alerts, not hard blocks; validate that distinction if policy enforcement matters.
Rota & Time Clock is a separate workforce-management plan displayed at $5.50 per user per month. It includes shift planning, clock-in/out and payroll-ready timesheets; compare its whole-plan cost and export process separately from the leave-focused Business and Pro plans.
The pricing page offers a 30-day trial of each plan without a card and says the plans are month-to-month with self-service cancellation. Its FAQ says a new trial does not begin paid billing without payment details. The page describes monthly card payment or UK Direct Debit and VAT receipts; confirm local payment and tax details.
Look a little closer
Before you choose
Start with a small synthetic team: set different work schedules and annual allowances, request overlapping dates, then compare manager approval, wallchart visibility and the resulting balances with your leave policy.
If calendar sync and absence reporting are important, test a personal booking and a team feed with the selected plan. The integration page’s old Basic wording and the current Business card should be reconciled directly with Timetastic before relying on plan inclusion.
The annual-leave page describes locked dates, yet the current pricing grid says that feature is coming soon. Treat it as unconfirmed and check the live account or vendor before making it a purchase criterion.
For shift-based work, test a rota, a clock-in and a payroll export in the separate Rota & Time Clock plan. Leave approvals alone do not establish a complete attendance or payroll workflow.
