Find your fit
Who it is for
A finance team that receives receipts across email and spreadsheets can use a claim flow where employees attach evidence, approvers apply policy, and controllers inspect the approved claims. Try it with a realistic missing-receipt and policy-exception scenario.
Managers and budget owners can see the impact of a claim when it is submitted, then inspect claims by employee, team or cost centre. That makes Spendesk relevant when expense approvals need an auditable path rather than a simple receipt store.
A business with staff in several countries should check the exact reimbursement path for each wallet and currency. Spendesk describes direct EUR/GBP wallet transfers alongside XML SEPA and CSV export routes; those options have different confirmation and bank-execution steps.
The work it supports
Core capabilities
Claim capture. An employee photographs or uploads a receipt with the expense request. Spendesk says OCR extracts merchant, date, amount, currency and VAT, reducing re-entry; finance should still test unusual or low-quality receipts.
Approval routing. Configured policy can send a claim to the appropriate approver, and managers can approve on mobile. Define limits and exception handling before giving employees access.
Controller review. A manager’s approval is followed by a finance stage: controllers can validate or reject claims and handle several at once. Separate permissions and check what happens when a claim needs correction.
Budgets and records. Claims affect the relevant budget on submission. Finance can inspect totals by employee, team or cost centre and keep the receipt with a searchable submission, approval and payment history.
Reimbursement handoff. Reviewed claims can be scheduled for a direct Spendesk wire transfer where available, or exported as XML SEPA or CSV for the company’s bank process. An exported file still needs a bank action; direct transfer needs the account owner’s confirmation.
Regional expense rules. Spendesk advertises German per diem and UK/French mileage calculations. Confirm the countries, policy setup and plan scope before relying on the calculation for payroll or tax treatment.

Pricing and getting started
The current pricing page places receipt rules, OCR and expense reimbursement in Foundations. Procurement, Accounts Payable, advanced workflows and multi-entity management appear as add-ons, so include each needed module in the proposed quote.
Spendesk describes a fixed monthly platform fee plus variable charges based on transactions, including expense claims. Its paid plans say unlimited users without active-user fees. Request the actual fixed fee, included usage and overage terms for the expected volume; no public numeric rate is assumed here.
Look a little closer
Before you choose
Run a sample claim from receipt to completion. Check OCR accuracy, approver routing, controller rejection, budget effects, records and what employees see when status changes.
Confirm how money moves in your market. The direct-transfer help page requires account-owner confirmation and describes EUR and GBP wallet support; an XML or CSV export sends no money by itself. Verify banking availability, funding and transfer permissions with Spendesk.
Treat the broader cards, procurement and Accounts Payable offering as a separate buying decision. The expense-claim workflow is the reason for this category placement, while add-ons and transaction usage can materially change the bill.
