SmartSuite

What it does

SmartSuite is a configurable work platform with a dedicated project-management offering. Teams can model projects and tasks as connected records, assign work, then inspect schedules, dependencies and progress from several views of the same data. It also supports GRC, IT and operations workflows beyond this catalog category.

The organizing unit is a workspace containing solutions; each solution holds tables of records. This matters when evaluating SmartSuite against a simpler task board: the team must decide how to structure project and task tables, link them, and set access before the views become useful.

Who it is for

A project team replacing scattered spreadsheets can create linked Projects and Tasks tables, assign owners and due dates, and review work in a status board or calendar. Build one representative project before designing a company-wide structure.

A project manager coordinating dependent work can use Gantt to inspect timing, task owners and predecessor links. Confirm the plan’s dependency and auto-scheduling rights, then test a small chain of tasks before trusting calculated dates.

A team operating several connected processes may value reusable solutions and saved views, while administrators can limit who creates structures or accesses data. Map member roles early if project records include confidential client or staff information.

Core capabilities

The official project-tracker guide starts with a Projects table and a Tasks table linked in one solution. Each task can point to its project, and a project can list its related tasks, giving the team a shared source for ownership and status.

A SmartSuite record acts as an assigned task when its Assigned To field is linked to Status; Due Date can be connected too. If an item does not appear in someone’s My Work, inspect those field relationships before assuming an assignment notification failed.

My Work collects assigned records, comments, checklist items and personal tasks, grouped by due date and marked with status and priority. It can help a member review commitments across solutions, provided each table is configured to surface assignments.

Saved views show the same underlying records as a Kanban board, calendar, grid and other layouts. The project guide uses Kanban by status and Calendar by due date; editing an item in one view changes the record seen elsewhere.

A Gantt view can show dates, durations, assignees and dependencies. Forward or backward auto-scheduling can recalculate dates from the dependency field, with advanced lead/lag conditions. Review the outcome and chosen-plan rights before applying it to a live schedule.

Administrators, Solution Creators and Solution Managers have different structure and sharing powers. Solution and table permissions further govern access; test one creator, manager and ordinary member with harmless records before inviting a wider team.

Members can make private views, while locked views and view folders are listed for Professional and higher plans. Check whether your project requires governed shared views or only personal filters before paying for a higher tier.

Understand the offer

Pricing and getting started

The viewed Team card shows $15 per seat per month billed annually or $20 billed monthly, with at least three billable users. Professional shows $32 per seat per month billed annually or $36 billed monthly, with at least five. Confirm the currency, taxes and full annual charge before comparing totals.

SmartSuite says editors are billed while read-only users, commenters and form submitters are free; seat changes are prorated. Plan the real number of editors, including administrators and project leads, rather than treating every invited person as an equivalent paid seat.

Team lists 5,000 records per solution and 50 GB of workspace storage; Professional lists 100,000 records per solution and 100 GB. The record limit adds all tables in a solution, so linked Projects and Tasks records share that allowance. Check storage and other usage limits against actual data.

Enterprise has custom pricing, and Signature is a tailored contact-sales offer. New workspaces can try Professional for 14 days without a card or automatic charge; the FAQ says an unpaid workspace becomes disabled afterward while its data remains for later paid sign-up.

Look a little closer

Before you choose

Pilot the whole path: create one solution, link Projects and Tasks, assign a record, verify that it appears in My Work, then compare board, calendar and Gantt views. This tests the data model and permissions as well as the visible project features.

For a schedule with dependencies, inspect both manual and auto-scheduled dates after a predecessor changes. Confirm whether advanced dependency modes are in the selected tier, and keep a human review step for deadlines that affect clients or other teams.

Before buying, calculate billable editors and the three- or five-seat minimum, compare monthly and annual totals, count records across linked tables, and decide whether Professional-only view controls matter. Export or otherwise safeguard trial data needed beyond the stated 14 days.
