Smartsheet

What it does

Smartsheet is a sheet-based work-management platform for projects. A team can collect a request, turn it into rows of assigned work, set dates and dependencies, and bring status into reports or dashboards. This listing uses current public vendor pages; it has not operated a live account.

Who it is for

Project teams that already think in tables may find the row-and-column model familiar while adding ownership, dates and multiple views. Run one representative project before moving every tracker so the team can judge how clearly it handles real handoffs.

Program managers consolidating several sheets can use reports and dashboards to bring updates together. Check the plan’s report-source limit and each viewer’s permissions before adopting a portfolio-level summary.

The work it supports

Core capabilities

Task management. Create work as sheet rows, assign owners, set due dates and update status. Keeping comments and files with the row can help collaborators find context for the next step.

Project planning. Use dates, predecessors and dependencies to show task sequence in a Gantt-oriented plan. When dependencies are enabled, Smartsheet can recalculate affected dates; test that behavior with one sample schedule before relying on it.

Project reporting. The platform can roll information from sheets into reports and dashboard views. Build a concise status view around the fields the team actually maintains, then check that stakeholder access exposes only intended data.

Pricing and getting started

Trial and entry. Smartsheet currently offers a 30-day trial for new users. Its legacy Free plan stopped accepting new signups in August 2024, even though an older general FAQ still refers to a free plan. Treat the trial and current paid tiers as the relevant entry path.

Displayed paid terms. The vendor’s current FAQ quotes Pro starting at $9 and Business at $19 per member per month with annual billing; Enterprise is custom priced. The live pricing page has country/currency and monthly/annual selectors. Confirm the exact currency, taxes, member count and checkout terms.

Plan fit. Pro lists one to ten members, unlimited sheets/forms/reports and 250 automations monthly. Business starts at three members and adds unlimited automations and workload tracking. Verify source-sheet limits for reports, guest access and any separately priced capability before buying.

Look a little closer

Before you choose

Intake. Forms can add submitted information as new sheet rows. Set field and sharing rules before sending a form externally, then test what a submitter and a sheet collaborator can each see.

Dependencies. A predecessor relationship can change downstream dates when a source task moves. Set up one realistic handoff and inspect the resulting dates before importing a large schedule.

Reporting access. A dashboard can summarize status, but reports and widgets depend on source data and sharing. Keep the view narrow and test with a representative stakeholder account.

Automations. The vendor describes approval, status and notification workflows, with plan-specific allotments. Confirm the triggers and monthly volume on the selected tier and try a complete sample workflow.

The public pages establish the named workflows and displayed commercial terms, but no form submission, dependency edit, automation, external share or billing flow was tested for this listing. Recheck plan limits and permissions in the account you will use.
