Find your fit
Who it is for
The practical fit is a business whose labour plan changes week to week and whose managers need to see availability, approved leave and contract hours while scheduling. Multi-location teams can view departments side by side; Flexpool for moving staff into gaps is reserved for Premium.
It also suits a team that needs a check between the rota and payroll. Staff can record actual hours, a manager can review exceptions and approve a timesheet, then export a report. Buyers needing a payroll engine still need a separate provider.
The work it supports
Core capabilities
Build a week by placing shifts on employees, using approved leave and contract hours in the view. Availability appears on paid plans. Publishing controls let a planner prepare changes before employees see them; the exact notification and publishing rights vary by tier.
When a shift has no assignee, the planner can invite employees to an open shift. They accept or decline through the app or web, and the planner chooses the assignee. This makes coverage a visible workflow rather than an informal message chain.
Employees can request absence and see their balances; managers can approve or reject requests. Approved absence updates the schedule. Contract-linked absence policies can define which balances and accrual rules apply, so a pilot should check that setup against actual employment policies.
Free supports manual worked-hour entry and manager approval. Paid tiers add clocking by mobile, desktop or shared tablet; a published shift gives the timesheet a planned baseline. Managers then review the registered hours and approve them before payroll preparation.
The payroll report collects worked hours and other timesheet information for an Excel or CSV handoff. Shiftbase also names payroll connections such as Nmbrs, AFAS and Loket. Confirm the format and field mapping needed by the buyer’s payroll provider.
Separate reports can be exported as Excel or CSV with a selected period and filters. Test the needed data and columns before relying on an export for payroll, finance or an exit plan.

Pricing and getting started
On the captured EUR monthly display, Free is €0 for up to 15 employees, one department and five teams. Its card lists drag-and-drop scheduling and manual time entry; paid tiers add more time and scheduling controls.
Basic is shown at €30 per month for six employees, then €4 per added user per month. It adds availability, shift swaps, open shifts, clocking, absence management and a fuller payroll export. A team should count active employees and check whether its departments fit the plan limit.
Premium is shown at €72 per month for twelve employees, then €5 per added user per month. It brings labour-cost and budget views, advanced surcharges, Flexpool, geofenced clocking and unlimited kiosks.
Enterprise is shown at €336 per month for 48 employees, then €6 per added user per month. Confirm the additional integration and API rights and any applicable add-ons against the buyer quote.
The page offers a 10% saving with annual billing. It charges added employees for the remaining term; a smaller team count takes effect at renewal and the paid year is not refunded. Monthly billing gives more room for changing team size. Verify current currency, tax, term and employee count in the actual quote.
The general paid-plan trial is described as 14 days without card details, but the Enterprise card separately says 30 days. Confirm the applicable trial in the selected region and plan. The pricing FAQ says monthly cancellation has one month notice; a paid year ends at renewal when cancelled in time.
Look a little closer
Before you choose
A good pilot would recreate one real weekly rota with fictional staff, publish it, handle a leave request and open shift, record hours that differ from the plan, approve the timesheet, then inspect the exact payroll export. This tests the full handoff and shows which paid rights the workflow needs.
Keep the published feature status straight: AI forecasting and auto-scheduling are marked Early access, while the Enterprise compliance additions are marked Soon. A buyer with legal scheduling obligations should verify the rules and local coverage rather than infer compliance from a plan name.
The billing help says an upgrade during a month is prorated immediately and a downgrade starts next billing period. It also warns that confirming cancellation closes the account immediately and recommends exporting reports first. Plan the export and final access window before cancellation.
