SeedDMS

What it does

SeedDMS is a self-hosted, open-source document management system for storing files in a controlled collection. A team can upload documents, retain versions, organize folders, search and route material for review or approval. It is a document repository and workflow system; changes to a file's contents are made in a separate editor and returned as a new version.

Find your fit

Who it is for

It fits a small or medium organization prepared to operate its own PHP-backed document service. Teams handling invoices, reference files or internal records can separate access by users and groups, then add review and approval steps around updates.

A group that needs full-text retrieval should budget setup beyond installing the base repository: content indexing requires a selected engine, file-to-text converters for its document types and ongoing index updates. Metadata search works without that extra configuration.

The work it supports

Core capabilities

Add documents through the web interface and place them in folders. SeedDMS stores successive versions rather than discarding every earlier upload, and lists support for storing any document format.

Set users, groups and access-control lists around the collection. A reviewer can receive a workflow request to review, approve or revise a document; notifications can also call attention to new or changed material.

Search titles, owners, keywords and other database metadata out of the box. Search inside file content requires enabling and maintaining full-text indexing; text must be extracted from each relevant format, with OCR for scanned images.

The full-text index only searches the latest document version's content. It also stores read-right information, so a major access change can require an index rebuild. Test both retrieval and permissions after adding new users, moving folders or changing rights.

Users can download a single file through the browser or export the latest versions of search results as a ZIP. Built-in WebDAV provides another route to documents and folders a user may access; optional temporary download links for outsiders come from an extension.

A per-user server drop folder can be enabled when scans or other files already arrive on the server. This adds a server-side file selection path to the ordinary upload form and can shorten large uploads.

For content edits, download the file, change it in another application and upload a new version. SeedDMS also describes a separately configured check-out directory to coordinate this work; use it when parallel edits could overwrite one another.

Understand the offer

Pricing and getting started

SeedDMS core is presented as free, open-source software that can be self-hosted. The organization still supplies and administers the server, database, storage and recovery process. The captured official pages do not give a fixed hosted-service amount.

The project points buyers to optional professional support, customization and hosted service from MMK. Some extensions are explicitly non-free, including clipboard ZIP download and URL-based import. Confirm written scope and price for any add-on or managed service before committing to it.

The download page recommends the 6.0.x branch for a new installation; 5.1.x also receives updates. Choose a branch and check extension compatibility before rollout. The public demo has a 5 MB upload ceiling and gets cleared periodically, so test with disposable files.

Look a little closer

Before you choose

Pilot with a harmless document: upload it, assign a second reader, route a review, make an edit externally and add a new version. Confirm what the reviewer receives and that the reader cannot see documents outside their rights.

Try a scanned PDF and a native text file before relying on full-text search. Verify the converter and OCR results, how quickly index updates appear, and whether the search respects a changed permission. Older-version content is not included in the full-text index.

Before migration, export a representative search result, inspect its ZIP and test WebDAV or an intended extension path. Keep a separate server/database backup plan; a document download or the temporary public demo is not a complete recovery strategy.
