Find your fit
Who it is for
It suits teams with complex procedures that change often, such as service or operations groups where staff need to make the right choice during a task. A decision tree can guide a conditional situation while a checklist keeps routine steps visible.
ScreenSteps is priced and sold for teams rather than an individual author. It can also serve separate internal and customer-facing knowledge sites, but external knowledge-base pricing requires a custom conversation.
The work it supports
Core capabilities
Create articles and arrange them into chapters, manuals, categories and sites so staff can search for a procedure. The product also supports concise reference articles designed to be scanned while a person is completing a job.
Write a followable guide for a procedure, then use a decision tree when the right next step depends on the situation. Interactive checklists give readers a simpler path for tasks that mainly require reliable step order.
Capture procedure material with built-in screen capture and video recording. ScreenSteps also describes AI tools that transform recordings or existing documents into organized steps; check the draft before staff rely on it.
Put knowledge near the work with Sidekick, a browser extension that can surface articles, decision trees and checklists beside a web app. Try it in a representative employee workflow to see whether it retrieves the right guidance.
Create self-paced courses and combine them into learning paths for onboarding or change training. Keep the job aids available after the course, so employees can find instructions at the point of need.
Use comments, article requests and notifications to identify missing or stale guidance. An internal site may be restricted to signed-in readers; a separate public site can serve an external audience when configured deliberately.

Pricing and getting started
Operations Standard starts at $6,000 per year on the current annual display. It lists procedures/articles, decision trees, checklists, video recording, change notices, content certifications, SSO and one custom domain.
Operations AI starts at $9,000 per year on the same annual basis and adds AI knowledge capture/optimization/search, courses, Sidekick and audio recording. Enterprise is custom priced with additional AI authoring, governance, identity and domain capacity. Ask for a written plan and seat quote before building around an AI or course feature.
ScreenSteps says monthly billing is available, but the public starting figures include an annual discount. It allows mid-term upgrades with prorated credit and limits downgrades to renewal. External knowledge-base uses call for custom pricing.
The official trial pages disagree: the current request form says 14 days, while the pricing FAQ says 15 and confirms no perpetual free version. Confirm the actual trial duration and enabled plan with ScreenSteps before scheduling a test.
Look a little closer
Before you choose
Pilot one complicated procedure with two real decision branches. Build a guide, let someone unfamiliar with the task follow it, then review where they needed more context or a checklist.
Test search and guide organization with several documents, then ask staff to find the right article during a realistic task. Capture a short procedure and review any AI-generated steps against the actual workflow before publication.
If the buyer needs Sidekick or courses, compare Operations AI to Standard explicitly; those features are listed as AI-tier additions. If public customer documentation is required, get its separate plan scope and permissions in writing.
Agree on the implementation help, annual or monthly billing, seats and the trial terms in a current quote. The public rates are starting figures and the two official pages disagree about the trial length.
