Ramp

What it does

Ramp brings company spending and employee expenses into one finance workflow. Administrators set card limits and receipt rules; employees pay with a card or request reimbursement; Ramp collects documentation, routes items for review, and sends coded transactions to accounting. Its broader platform also includes bill pay and other finance tools, but expense control and review are the focus here.

Who it is for

It suits an incorporated business with employees whose card purchases and out-of-pocket expenses need a consistent paper trail. A finance team can assign spending access, ask for receipts and memos, review exceptions and prepare accounting entries. A sole proprietor or organization below the stated eligibility thresholds should check qualification before investing time in setup.

The primary category is Expense Management: Ramp ties a payment method to policy, receipt, approval and accounting data for each expense. Corporate cards, reimbursements and accounting automation are part of that flow; bill payment, banking, travel and procurement need their own plan and country checks.

The work it supports

Core capabilities

Administrators can issue spending access with individualized limits. The Help Center describes single-use or vendor-specific cards, one-time or recurring limits, and spend programs for teams or projects. Before distribution, define who may request more funds, what happens when a limit is reached and who can change a card policy.

Receipt and memo requirements can be tied to company policy. Employees may send receipts by text or email, while eligible automatic sources include email connections, forwarding, a browser extension, mobile photos and supported merchants. Availability depends on the company administrator and supported source; pilot the actual merchants and employee devices before assuming every receipt will arrive automatically.

Ramp may draft a memo or fill accounting fields from transaction and receipt context. The first-party help article explicitly says a receipt alone does not guarantee those fields will be filled: merchant details, prior coding, policy and confidence also matter. Keep a review step for missing receipts, mistaken categories and unusual purchases.

Expense approvals can be routed for card transactions, reimbursements or both. Basic amount and user-role routing is described for all customers, while additional condition types require Plus. Map a representative approval chain and test what happens when the approver is absent or an expense falls outside policy.

Submitted reimbursements enter Pending or Needs Review. A reviewer can correct some supporting fields while pending, but changing the merchant, amount, currency or other defining values returns the request to draft and resets approvals. After approval and payment, the help article says core fields such as the amount and receipt are locked. Finance teams should resolve discrepancies before payment.

For accounting handoff, Ramp can connect to a supported accounting provider, bring in the chart of accounts, map sync preferences, apply coding rules and let finance review transactions before sync or export. Test a small card purchase and reimbursement in a sandbox or controlled trial and compare the resulting accounts and attachments with the ledger.

Pricing and getting started

The main pricing page displays Free at $0 per user per month. It includes core card and expense features, receipt matching and basic QuickBooks Online/Xero integration. Ramp’s separate help article also calls its core card and expense-management software free, but actual card and account access still depends on business eligibility.

The main pricing page displays Plus at $15 per user per month, with an additional platform fee based on team size and a stated annual-billing discount. Plus adds advanced expense review and controls and more accounting integrations. The captured page does not clearly state a currency code beside the dollar amount, so confirm the actual country, billing term, platform fee and tax in a dated quote.

Ramp’s Canadian page separately displays Free at CA$0 per user per month and Plus at CA$15 per user per month plus a team-size platform fee, billed annually. Its listed expense features differ by tier. A Canadian buyer should use the Canadian page and current contract rather than transplant the main page’s amounts or features.

Enterprise is custom-priced with annual billing on the main page and lists additional reimbursement and enterprise accounting scope. A buyer needing multi-entity, international or advanced ERP work should ask which entity, payment rails and integrations the proposed contract actually covers.

US and Canadian business eligibility is a material gate. Current official help pages describe registered-business requirements and a $25,000 linked-bank cash threshold in the US; the Canadian article states CA$25,000 and excludes sole proprietorships, Quebec and the territories at capture time. Meeting a threshold does not guarantee approval. Check the current rules for the applicant’s jurisdiction before planning a migration.

Look a little closer

Before you choose

A useful evaluation starts with a fictional or internal test expense: set a spend limit and receipt rule, submit a card receipt and a reimbursement, review an exception, then inspect the coding and accounting export. Record which steps were automated and which still needed an employee or reviewer. Do not use a live bank connection or real employee reimbursement merely to evaluate the listing.

Before rollout, verify application eligibility, plan and country availability, supported accounting provider, receipt sources, advanced approval rights, platform fee and reimbursement handling. The approved-and-paid edit restrictions make prepayment review especially useful; assign ownership for correcting exceptions before the finance team closes a period.
