QuoteCloud

What it does

QuoteCloud is a browser-based way to prepare and send quotes, proposals and other sales documents. A seller builds the document, adds itemised pricing on an eligible plan, sends it from a connected email service, and can let the buyer review choices, sign and pay within the document. The plan matters: simple signed documents and fully priced quotes have different entry points.

Find your fit

Who it is for

It fits a service or sales team that repeatedly sends estimates, quotes, proposals, contracts or order forms and wants the customer’s decision recorded with the document. For a two-document monthly signing need, Free may suffice; a seller that needs itemised prices should begin its comparison at Essentials.

Teams with approval rules, complex price calculations or a native CRM/accounting connection should evaluate Business. They can create an internal decision path before a quote reaches a customer, while Enterprise is a sales-quoted option for larger or higher-volume setups.

The work it supports

Core capabilities

Start from a blank document or template, then add the customer and edit the content. The business can connect its own email service for delivery. On Essentials and above, the sender can follow opening activity and notifications after sending.

For an itemised quote on Essentials or higher, build a price table from catalogue items or quote-specific lines. The table can combine one-off and repeating charges; discounts and tax feed the totals. Keep cost and price settings under review before reusing a catalogue item.

The seller can mark optional rows or package choices and permit quantity editing on selected lines. When a customer changes an allowed choice, the visible total updates. This makes one interactive quote useful for alternatives, provided the seller checks which items are optional before sending.

Recipients can sign in their browser without creating a QuoteCloud account. Completed signed documents include a certificate and audit trail. The signing tool exists on every plan, though Free limits how many documents can be sent each month.

With Essentials or above and a connected Stripe or PayPal account, the seller can request a deposit or full amount after the customer accepts and signs. This payment step depends on the external gateway and its regional fees; it is not a capability of Free or Starter.

Business and Enterprise add internal approval routing, such as a value or discount threshold, before a quote goes to the customer. They also add advanced pricing and formulas. A team should test a sample threshold and calculation using its actual rules.

Essentials and above expose API, Zapier and Make.com connections; native CRM and accounting integrations start on Business. Business and Enterprise also support editable revisions that preserve the prior version of a sent quote.

Understand the offer

Pricing and getting started

Free is $0 for one user and up to two sent documents per month. It includes eSignatures, but not the price tables needed for itemised quoting. Starter is shown at US$14.95 per user per month for unlimited documents and PDF export; it still lacks price tables and online payment acceptance.

Essentials is shown at US$39 per user per month, or AU$64.95 in Australia. It adds price tables, the product catalogue, templates, tracking, online payment acceptance and API access. Business is shown at US$59, or AU$94.95 in Australia, and adds approval workflows, advanced pricing, forms and native CRM/accounting integrations.

Essentials and Business have a 14-day trial without a credit card. The vendor lists no Starter trial. Enterprise has negotiated per-seat or per-document pricing. Paid prices exclude applicable taxes, and the site says local currency applies in Europe, Australia and the UK, with USD elsewhere; the billing currency can differ from the currency of a customer quote.

The vendor says there is no lock-in contract, but the plan price is not the whole cost of every workflow. A payment gateway charges its own transaction fees. Documents created via API or Zapier have an added per-document charge, and extra storage, bulk sending and services may also cost more.

Look a little closer

Before you choose

Choose the plan by the actual document: simple signing, priced line items, or approval-controlled offers. Check a sample with optional items, quantity changes, tax and a recurring line before relying on a reusable template. For payments, verify the connected gateway and its local costs.

If the team needs automated document creation, include API or Zapier document fees in its volume estimate and confirm whether a native integration requires Business. If a contract needs advanced or qualified electronic signatures, confirm the legal requirement and product fit rather than assuming the standard signature satisfies it.
