Find your fit
Who it is for
QuickFile is aimed at smaller UK accounts that need invoicing and bookkeeping without desktop installation. Accountants and bookkeepers can evaluate Affinity separately when they need to manage several client books. The relevant size measure is nominal-ledger entries over a rolling twelve months, not simply revenue or user count.
Businesses migrating from spreadsheets or another ledger can import client and supplier lists from CSV and work from a prior trial balance. Check opening balances and unpaid invoices with an accountant before relying on the first VAT period or management report.
The work it supports
Core capabilities
Create an invoice by selecting a client, adding items, setting issue date and payment terms, then selecting VAT treatment where relevant. Sample a partly paid invoice to see how the outstanding amount appears before changing a live debtor ledger.
An invited client can access a branded area to view, download and pay outstanding invoices. QuickFile requires a contact name and email for that login; confirm the intended payment provider and any processing fees before sending real invoices.
The homepage advertises automatic invoice reminders. Draft a fictional reminder schedule and check its recipient, timing and stop condition before enabling customer messages.
Log a purchase against a supplier with receipt date, due date, category, amount and any applicable VAT. A receipt can be retained with the record, while payment can be recorded separately. The category matters for subsequent accounting and tax treatment.
Use the mobile receipt capture or Receipt Hub to retain evidence of an expense and tag it later. A buyer should test whether the attachment appears with the correct purchase and within the included storage allowance.
QuickFile accepts imported CSV, OFX or QIF bank statements. Transaction tagging can create linked invoices, purchases, salary or tax records; compare a small fictional statement to the resulting double-entry records before using a live bank export.
Reconcile by tagging each bank line to the appropriate invoice, purchase, transfer or other record and checking opening and closing balances against the paper statement. A green tagged state alone should be read alongside the balance check.
An optional bank feed can import transactions instead of a manual statement upload. It depends on the bank and Open Banking support; confirm the actual institution, consent and feed behavior before connecting an account.
QuickFile includes reporting and multi-currency tools. Power User adds segmented and cash-based profit-and-loss views, so test which report your accountant needs against the account’s subscription rights.
Estimates, purchase orders and delivery notes are also described on the homepage. Walk one fictional document through conversion and accounting treatment before assuming the workflow fits a particular order process.
For UK VAT, configure the schedule and method, enter the underlying sales and purchases, inspect the calculated return, and choose whether to save or submit through MTD. Eligibility, tax coding and HMRC authorization need independent review before a real filing.

Pricing and getting started
The current pricing grid lists XS, S and M as free through 1,000 nominal-ledger entries, and L/XL at £60 plus VAT per year. It says accounts above 40,000 nominal entries over a rolling twelve months need an enterprise quote. The homepage says free while the count is under 1,000, so verify the exact boundary for an account at that threshold.
The public pricing page says every plan includes unlimited users, 1 GB of file storage, API access, multi-currency support and two-factor authentication, with no setup fee or contract. These inclusions do not make optional bank feeds or extra storage free.
Automated bank feeds are separately displayed at £15 plus VAT per year and additional storage at £9.99 per GB per year. Check whether the bank is supported and whether invoice attachments will exceed the included 1 GB.
Small free account sizes can separately buy Power User rights, and the vendor says that subscription renews annually. It adds capabilities such as segmented reports and is required for the current MTD Income Tax module; confirm its current price and entitlement before budgeting.
MTD VAT and MTD Income Tax are distinct UK workflows. The VAT guide says its first return depends on invoices, payments and tagged bank lines actually entered; manually imported opening balances do not automatically enter the calculation. Check the applicable HMRC obligations and professional advice before submitting.
Look a little closer
Before you choose
Run a fictional month from invoice and purchase records through bank tagging and reconciliation, then compare the ledger and reports with expected totals. Confirm that each bank line is tagged once and the opening and closing balances match the original statement.
Estimate nominal-ledger entries over a rolling year and identify whether Power User reports or MTD Income Tax filing are needed. A low entry count may leave the core account free but still require a separate subscription for those advanced rights.
Bank feed availability and fee are separate from ordinary bank statement import. Confirm the supported bank, consent flow and annual bank-feed cost before committing to automation; a sample CSV/OFX/QIF upload can test the manual route.
Before a first VAT return, reconcile imported history and check the guide’s opening-balance warning. The existence of an MTD submission button is not proof that the business’s period, method, records or authorization are correct.
Check client portal invitations, payment integrations and reminder recipients using fictional information before any real customer send. Keep the included storage cap and optional attachment costs in the selection budget.
