ProWorkflow

What it does

ProWorkflow brings projects, tasks, staff assignments and time records together. A team can plan a client job, break it into tasks, assign dates and people, inspect progress, and use the recorded work for later invoicing. The project workflow is the center of this profile.

Who it is for

It suits service and project teams managing several client jobs at once. Pilot one representative project with a repeated task list, a deadline dependency and a staffing constraint to see whether the shared view matches the way the team actually schedules work.

Because client and contractor users have limited free access while staff users are paid, model the actual roles before choosing a seat count. Test what a client can see and complete without giving them a staff-level license or exposing internal project files.

The work it supports

Core capabilities

Projects can be planned with task deadlines and viewed through boards or Gantt charts. Tasks can be assigned to people, and the FAQ describes dependencies between prerequisites and subsequent work. Use one small linked schedule to test how a delayed task affects the rest of the plan.

Task templates can recreate repeat work, while Excel import or copy and paste can add many tasks at once. Build a small template before bulk loading a project so owners, dates and time allocations are checked rather than repeated incorrectly.

The workload view combines assigned tasks, start and due dates, and allocated time for staff. Compare a sample week against real availability, including part-time schedules and nonproject work, before using it as a capacity forecast.

Time can be logged against project tasks, including manual entries. When a project invoice is created, the vendor says recorded project time can populate it. Compare a sample timesheet and invoice before relying on the handoff for billable work.

Project files can be placed in public or private folders for outside collaboration. Create a harmless sample file and inspect the client role, folder visibility and sharing defaults before posting confidential material.

Completed and deleted projects are available from an archive that the vendor says can restore a project. Test a completed project and a restoration before treating the archive as a retention policy or backup.

Pricing and getting started

The current grid names Professional, Advanced and contact-led Enterprise. Professional covers core project, task and time management, lists one minimum paid user and 25 GB file space. Advanced extends Professional with hierarchy, lists five minimum paid users and 50 GB file space. Confirm the proposed plan and limits at checkout.

ProWorkflow charges for staff licenses, while limited client and contractor access is free. If an outside participant needs full staff-level access, the vendor says that person must become a paid user. Count each role in a pilot, especially if a contractor needs broader project administration.

The Professional plan grid lists quoting and invoicing as separate $10 items; Advanced lists both as included. Check whether those charges are monthly, per account or otherwise in the actual quote before comparing the two plans.

The public pricing page offers monthly and annual terms and shows an introductory offer alongside the plan details. Confirm currency, billing term, staff seats, add-ons, taxes and when any introductory rate ends in a dated quote or checkout view.

A no-card free trial is advertised. Current official pages disagree on its duration, so verify the actual expiry and included plan when signing up; test export before that date if the team enters useful data.
