Who it is for

A project team coordinating internal handoffs can use task lists, board or Gantt views and discussions to keep assignments and context together. Pilot one representative project so everyone can judge whether the views and notification flow fit the work.

Creative agencies and client-service teams may value review links, annotations and file approval alongside project tasks. Check the guest or external reviewer experience with a sample asset before inviting a client to a real project.

The work it supports

Core capabilities

Task management. Create tasks and task lists, assign one or several people, and add deadlines, estimates or labels. Use the board or table view to inspect who owns each next step.

Project planning. Set dependencies and map work in a Gantt view so the team can see task order and adjust dates when a prerequisite moves. Try one short linked schedule before importing a large plan.

Project reporting. ProofHub describes tracking project progress and showing completed tasks in project reports. Detailed project and resource reports are listed with Ultimate Control, so confirm the selected plan before depending on them.

Pricing and getting started

Plan shape. ProofHub currently sells Essential and Ultimate Control at a flat price with no per-user fee. Essential lists 40 projects and 15 GB storage; Ultimate Control lists unlimited projects and 100 GB storage. Both advertise unlimited users.

Displayed prices. The current US-dollar FAQ quotes Essential at $45 per month with annual billing or $50 monthly. Ultimate Control advertises a limited three-month introductory amount, followed by a higher regular amount. Confirm the live total, billing period, currency, taxes and later renewal amount before purchase.

Feature gates. Both plans list core tasks, boards, Gantt, discussions, file sharing and proofing. Ultimate Control adds time tracking, custom workflows and roles, advanced reports, API access and other administrative controls. Match the intended workflow to the chosen tier.

Trial. A 14-day trial is offered without a credit card. The vendor says continued access after the trial requires payment and an unpaid trial account expires. Use the trial to test a complete task-to-approval flow.

Look a little closer

Before you choose

Intake and ownership. Forms can turn incoming requests into tasks. Decide who triages those requests, which fields are required, and whether a new task goes into the right project before rolling out an external form.

Client review. Proofing supports in-context annotations, versioning and approvals, including a link for an external collaborator without login. Test access and version history with a non-sensitive sample file before sending client work.

Scheduling and reports. A linked Gantt plan depends on maintained task dates, and progress reports depend on current assignments and status. Review both with a small project so the output reflects actual work.

Plan limits. Essential has a 40-project and 15 GB ceiling. Ultimate Control adds the custom roles and advanced reporting that may matter to a larger team; verify those needs before adopting its paid tier.

These details come from current public vendor pages. No project was created, no external reviewer was invited, and no trial signup or checkout was completed for this listing. Recheck live pricing and permissions in the intended account.
