Find your fit
Who it is for
The vendor positions it for freelancers, retailers, service providers, sole proprietors and growing small firms. A useful evaluation starts with one fictional customer, one supplier and one month of sample entries; check whether the resulting ledger and reports match the bookkeeper’s expected treatment.
A product-based business can assess stock, purchase orders and warehouses in the same system as invoices. The current plan grid makes warehouse count and annual invoice volume material choices, so estimate both before selecting a tier.
The work it supports
Core capabilities
Prepare an estimate or invoice, send it to a customer and monitor pending, partly paid or overdue amounts. The invoicing page describes a payment link; confirm the payment provider, currency and fees for the actual account before treating online collection as ready.
Receivables can show aging, partial receipts and advance payments. Use a fictional partial payment to check how it is allocated to an invoice and reflected in the outstanding balance.
An automatic reminder can be scheduled around an invoice due date. The current comparison does not include invoice reminders on Startup, so check the selected paid plan before relying on this for collections.
Record an unpaid supplier bill as a credit expense with its vendor, date, due date and supporting scan. Later, the voucher’s Make Payment action records settlement. This separates a bill being owed from cash already spent.
Vendor payables can track bill dates, amounts due, payments and advances. For a sample month, compare a vendor statement with the payable report to catch a duplicate or unallocated payment.
Import a bank statement, compare a line with a ProfitBooks transaction, reconcile a match and add a missing income or expense item if needed. The official help article shows the steps and a resulting bank reconciliation report; verify formats and bank mapping with a fictional statement before using live financial data.
Invoices, bills and bank payments can post accounting entries behind the scenes. Multi-line journal vouchers are available for adjustments such as opening balances, accruals or corrections; a qualified accountant should review the chart of accounts and period cutoffs.
Financial views include balance sheet, profit and loss, cash flow, trial balance, ledger, sales and expense reports, and aging. Reconcile a few sample source transactions to the report totals before using them for management or tax decisions.
For physical stock, purchases, sales and transfers update inventory quantities. A sample purchase order can become a purchase bill and flow into stock and payables. Confirm the correct warehouse and stock valuation treatment before broader rollout.
Ledger and period transaction reports can be exported to Excel or PDF; customer, product, sales and purchase reports also have export paths. Test whether those files contain the fields and historical period needed for migration or accountant review.

Pricing and getting started
The current displayed Startup plan is free for one user, with 10 invoices and 10 journal vouchers per month, one warehouse, a 10-product/service ceiling and up to 50 customers. Several older official pages still state different free limits; the live pricing and comparison pages are the basis for these figures.
Essential displays one user, 1,000 invoices per year, one warehouse, invoice reminders and India GSTR1/GSTR3B features. Growth increases to ten users, 5,000 invoices a year and three warehouses, and adds payroll, multicurrency and sales-order workflows. SMB Pro displays 25 users, unlimited invoices and warehouses, projects and auditor access.
The public USD pricing display shows Essential at $9.95 monthly or $99 yearly, Growth at $20 or $199, and SMB Pro at $35 or $349. It also shows INR amounts with differing billing choices and says applicable GST is added. Confirm the actual checkout currency, annual versus monthly commitment, and tax before budgeting.
Signup is advertised as a free SMB Pro trial that changes to the free Startup tier afterward. The captured pricing page does not state a trial length, so confirm duration and any paid conversion terms at signup.
WhatsApp invoice/reminder credits and e-invoicing appear as paid add-ons on eligible plans in the comparison. India GST report rows and the vendor’s UAE VAT reference are jurisdiction-specific; test local tax configuration and filing duties with a professional before relying on them.
Look a little closer
Before you choose
Run one fictional invoice, partial receipt, unpaid vendor bill and matching bank line end to end. Compare the ledger, receivable, payable and profit-and-loss results with the expected entries; do not assume a vendor demonstration proves accounting accuracy for a particular business.
Estimate monthly invoices, customer and item counts, number of users and warehouse count before picking a tier. Essential and Growth have annual invoice ceilings despite a broad FAQ sentence about unlimited paid invoices, so the comparison table is the safer reference.
Check which tax rates, invoice format and filing exports apply to the business’s jurisdiction. The site’s broad country-use statement does not establish compliance in every country, and India GST features vary by tier.
Before committing to a migration, export a sample ledger and transaction report and inspect the columns, date range and file formats. Verify any payment link or reminder with a no-send test before involving real customers.
Pricing pages show both USD and INR and mark some features as add-ons. Record the currency, billing interval, tax and optional credit or e-invoice charges from the actual offer.
