Find your fit
Who it is for
It can suit a team replacing scattered folders and paper files with a shared document record, particularly where people need to find a file by more than its filename and see how it changed. An organization with its own server may examine Professional; one wanting a managed service can examine Cloud.
Community is the low-cost path for someone prepared to install and manage it with forum support. Check the version carefully: Community 7.0 is free but distributed as binaries without published source. OpenKM says the GPL-2.0 source-code model belongs to Community 6.3 and earlier.

Core capabilities
Bulk upload can bring documents into the repository. For organizations choosing a compatible paid edition, OpenKM Scan Station offers a route from paper scans to PDFs with metadata; the current Scan Station compatibility table marks Community incompatible.
The feature page also describes integration with OCR engines for scanned documents. Test the actual engine, setup and result quality with the selected edition; the separate Scan Station client is not part of a Community evaluation.
Add or extract metadata and define fields that reflect how the team classifies records. Search can use content, keyword, date, author, document type, tags and metadata, which helps retrieve a contract or form even when a filename is unhelpful.
The version-control tools use a check-in/check-out model, with comments and history restore described on the feature page. Document locking can help prevent conflicting edits while a file is being reviewed. Confirm which version tools are present in the chosen edition.
Route a document through review, approval or validation steps. OpenKM describes serial and parallel workflows, tasks for users or groups, status monitoring and notifications. Confirm which workflow features and engine come with the proposed edition.
Roles and folder, document and record permissions control who may reach a file. The feature page also describes document previews; test the organization’s actual file types and access model in the selected edition.

Pricing and getting started
The Community edition is free and relies on a public user forum. Its current 7.0 distribution is binary-only with no published source code. Older Community 6.3 and earlier releases used GPL-2.0 and made source available; those terms should not be carried forward to 7.0.
Professional is positioned for installation on the buyer’s own server with certified support and implementation. Cloud is the managed hosted alternative, described with implementation, backups and updates. The versions comparison says capabilities and support differ, so request an edition-specific feature list before committing.
The Cloud page directs buyers to request a personalized price estimate; no exact public rate is used here. It lists configuration, backups, document preview and Tesseract OCR in its service description. Confirm the quote, resource limits, support, data location and the included modules for the planned deployment.
Look a little closer
Before you choose
Try a small, non-sensitive document set: one scanned PDF, one editable office file and a few files with similar names. Check bulk upload, OCR setup, metadata entry, search results and previews before planning a larger migration. If a dedicated Scan Station client matters, verify a compatible edition; Community is marked incompatible.
Have two test users check a file in and out, add a new version and restore an earlier copy. Then test role and folder permissions. This exposes practical access and versioning questions early.
Model one real approval path with a document, reviewer and final approver. Verify serial or parallel routing, notification and completion behavior in the specific edition, since the vendor’s versions do not promise an identical workflow bundle.
If integration with another document repository is required, ask about the official CMIS extension and its installation and price. The current comparison page says CMIS is no longer in the application core.
