NotePlan

What it does

NotePlan is a daily-note task planner from NotePlan LLC. Each day has a page for tasks and ideas beside the calendar, while project notes hold longer-running context. The point is to decide what belongs on today’s page and place work into actual time.

Native Mac, iPad and iPhone apps keep plain-text Markdown notes locally; web access extends use to Windows. Apple CloudKit handles the primary cross-device sync path. These platform details matter if your workflow depends on a specific device or an exportable note archive.

Who it is for

A solo planner who wants meeting notes, project ideas and today’s actions in one place can start from a daily note and schedule only the tasks that need a date or time. NotePlan intentionally leaves unfinished work for review rather than moving every item into tomorrow automatically.

A small group can use Spaces to share notes, folders and calendar entries separately from private notes. Individual subscriptions can participate; a team subscription is an optional billing arrangement. Confirm member and guest rights before moving shared work into a Space.

The work it supports

Core capabilities

Open a daily page, write the tasks and notes that matter, and keep longer project material in separate notes. Schedule a task by copying it into a later daily note or attaching a date link. Review unfinished tasks manually because they do not roll over by themselves.

Drag a task into the calendar timeline to create a time block. A notification can mark the start of the block. Check calendar permissions and the chosen account if Apple Calendar or Reminders content does not appear as expected.

For repeating work, choose a repeat copy, an auto-insert template or an Apple Reminder. These routes create future instances differently; test the first recurrence before depending on it for a deadline.

NotePlan can display Apple Calendar and Reminders beside notes. A recurring Reminder’s title and date changes sync, but completing that repeating reminder does not synchronize between the apps. Check both sides before relying on completion status.

The native apps store notes locally as plain-text Markdown, which gives a direct path to copy or back up the files. Importing daily/calendar notes from another system has filename rules; run a small migration test and inspect task links and formatting before moving an archive.

Mac, iPad and iPhone have native apps; Windows can use NotePlan in a browser. CloudKit is tied to an Apple ID, so use the matching sign-in when reaching existing synced notes on the web.

Spaces provide a shared area for notes, folders and calendar entries while keeping private notes separate. Decide which people need full member access and which can be guests before using a Space for work or family planning.

Pricing and getting started

The dedicated pricing page displays US$99 for an annual subscription, while another current NotePlan page says US$99.99. The annual option shows a seven-day trial. Confirm the price and trial terms in the checkout you actually use.

The monthly option on the dedicated pricing page displays US$12 per month and a three-day trial. Prices are shown in US dollars on the homepage; VAT or channel-specific totals may differ.

Website payments renew automatically unless canceled in settings or by email. Website purchases use Stripe through NotePlan LLC; iOS/macOS in-app purchases are processed by Apple, so cancellation steps can differ.

The vendor says notes remain on your devices or CloudKit after cancellation and are viewable in read-only NotePlan mode. Keep a separate file backup before leaving the subscription, and confirm access in your own sync setup.

Spaces does not require a team subscription when participants already have individual plans. A team subscription is an optional way to pay for multiple members on one invoice; its terms should be checked separately from a personal subscription.

Look a little closer

Before you choose

Try the daily-note routine with a few harmless tasks. Schedule one into a later day, time-block another, then observe how an unfinished item and a repeating item behave. The deliberate lack of automatic rollover may be useful or inconvenient depending on your habits.

Check the devices and sync path you need. Native apps are listed for Apple devices, while Windows relies on the web version; make sure Apple ID and CloudKit access suit your setup before moving important notes.

Before paying, resolve the conflicting annual amounts at checkout, verify the trial attached to your billing term and save an independent Markdown backup. If using Spaces, clarify collaborator subscriptions and guest rights.
