Find your fit
Who it is for
Navan fits finance and operations teams that want one place to review employee spend and see how expenses reach the books. It is especially relevant when the team already has corporate cards and wants to check whether eligible cards can connect without switching issuers.
A buyer should map its actual payment paths first: company-issued cards, existing corporate cards and personal spending to reimburse. The setup and buyer checks differ for each path, and travel booking is another Navan workflow rather than a requirement to use every expense feature.
The work it supports
Core capabilities
Set spend guardrails for employees and route exceptions for review. Navan says out-of-policy transactions are flagged; confirm who can approve, what the employee sees and whether a purchase is blocked or merely reviewed under your configured policy.
With a supported card, Navan captures and categorizes spending by merchant, employee role and other fields. Its Connect path links eligible existing Visa, Mastercard or American Express corporate cards, while Navan-issued cards are a separate option. Check card issuer and country support before assuming either path works for your staff.
Transaction timing is worth checking in a pilot: the vendor says Connect reports Visa and Mastercard activity in real time and American Express activity daily. Build any approval or month-end process around the arrival timing of your actual cards.
When an employee pays out of pocket, the app can take a receipt photo. After approval, the repayment route may be payroll or a direct bank transfer. Test a harmless sample and confirm location, bank setup and employer approval steps before promising a reimbursement time to staff.
Expense records include receipt, policy status, approval history and payment details. Finance staff can inspect spend and budgets by department or project, which can help them investigate a charge before closing the month. Check your required audit and export fields with sample data.
Navan says it matches payment data to employee, travel and invoice context for reconciliation. Accounting connections include named ERP and bookkeeping systems, with custom CSV export also described. Verify the specific connector, GL mapping, sync direction and error handling for your own ledger.
Navan’s travel booking can feed expense context, and the payments product describes virtual cards with spend limits. These features can be useful for a combined travel-and-expense program, but confirm card eligibility and whether travel or payment services are in the contract you are considering.

Pricing and getting started
On the viewed US pricing page, Navan Business is positioned for companies with up to 300 employees. Navan Expense is free for the first five monthly expensing users, then displayed at $15 per additional user per month. An expensing user is someone who submits a transaction manually or through Navan Connect; calculate the likely active count rather than treating the travel plan’s “Free” label as unlimited expense use.
Organizations above that size are directed to an Enterprise discussion. The displayed Enterprise scope includes custom implementation and dedicated support contacts. Confirm the quote, regional coverage, card requirements and any custom integration work before comparing totals.
Look a little closer
Before you choose
Run a small expense pilot with one supported card transaction and one out-of-pocket receipt. Check when each appears, how policy exceptions are marked, who approves, and what arrives in the accounting system. Use harmless sample data and document any manual handoff.
For a multi-country rollout, verify card issuance, connected-card eligibility, settlement, reimbursement route and local coverage market by market. Navan describes local options in supported markets; those statements do not establish that every feature is available everywhere.
