Motion

What it does

Motion is a task and calendar work planner. You create tasks with time estimates, priorities and deadlines, and its scheduler looks for room around fixed commitments. When availability changes, flexible work can move with it. Projects, shared work and AI tools sit around that central day-planning workflow.

Find your fit

Who it is for

It suits an individual or team whose task list competes with a busy meeting calendar. The useful question is whether a proposed work block can actually fit before a deadline, rather than merely whether a task has been recorded.

A team can group related tasks under a project, track a common deadline and switch views without duplicating the project data. Repeatable work may use a workflow project, while one-off work can remain a regular project.

The work it supports

Core capabilities

Give each flexible task a duration, start date, deadline and priority. Motion can place it in free calendar time, weighing existing events and later changes. A task with a future start date will not appear before that date.

Long work can be broken into smaller calendar sessions through chunking. This is useful when no single open block fits the whole estimate, but the total task still needs enough time before its deadline.

Busy events reserve calendar time. A fixed-time task also stays at the exact time you choose when auto-scheduling is off, so flexible tasks move around it. Check which imported events are truly marked busy before trusting the plan.

Hard deadlines change the scheduling tradeoff: the vendor says a task may be placed outside normal working hours when no in-hours slot exists. Decide deliberately whether that behavior matches the team’s working boundaries.

A task can remain unscheduled when the working window is full or blocked. Missing duration, a future start date and conflicting constraints are other reasons it may not appear where expected. Adjust the task or available time rather than assuming every deadline can fit.

Motion calendar events are documented as syncing both ways with connected external calendars. Motion task blocks flow outward to a main Google or Outlook calendar, but edits to external task blocks do not flow back; iCloud task sync is unsupported. Treat Motion as the task source when designing a cross-calendar workflow.

Projects collect tasks, deadlines and milestones in a shared space and can use regular or repeatable workflow structures. Multiple project views use the same underlying work, while individual tasks still receive their calendar placement from their own scheduling details.

Understand the offer

Pricing and getting started

The current public pricing page offers Pro AI and Business AI with individual/team and monthly/annual selectors and a trial invitation. Its static HTML also displays “This plan is not available” near plan cards, so the selected audience, region, billing term and live checkout should be checked before quoting a payable amount.

Business AI lists team capacity planning, advanced dashboards and reports, timeline/Gantt, time tracking, access controls, central billing and priority support beyond Pro AI. Verify the specific plan screen and seat bundle before assuming a feature is available to every workspace.

The captured page displays 7,500 monthly AI credits per seat on Pro AI and 15,000 on Business AI. The Help guide says credits refresh each billing cycle and do not roll forward. Estimate use of AI features separately from ordinary task scheduling and confirm current credit and overage terms at purchase.

Billing is tied to each workspace and Full Access members occupy seats. Seat count and AI credit allowance are bundled, so a team with several workspaces or uneven AI use should check the actual subscription count and allocations.

Look a little closer

Before you choose

Try a fictional day with two meetings and a few tasks of different lengths and priorities. Compare the proposed schedule, then add a conflicting meeting and see how flexible work moves. This checks the actual planning behavior without touching a real calendar.

Add a task too long for the remaining time and test chunking, deadline and working-hours settings. Inspect an unscheduled or late task and a hard-deadline task; the latter can spill outside normal hours. A schedule is a planning proposal, not a guarantee that capacity exists.

If Google, Outlook or iCloud is part of the setup, distinguish event sync from task sync. Test with a disposable calendar before relying on changes made outside Motion, since task-block changes in an external calendar do not flow back and iCloud cannot receive task blocks.

Before a team purchase, choose the actual individual/team selector and billing period, check how many Full Access seats each workspace needs, and verify AI credit allowance and Business-only features. The public static page is insufficient to determine an exact payable total for every selection.
