Moss

What it does

Moss organizes employee spending from receipt to finance review. For an out-of-pocket claim, an employee submits the expense, the configured review and approval steps check it, and finance handles payment and accounting export. The broader platform also has cards and accounts payable modules, whose rights depend on the selected package and country.

Who it is for

It suits a finance team that needs a repeatable way to collect receipts, route employee claims, and record reimbursements without chasing separate forms and spreadsheets. Staff can submit on web or mobile; managers and finance can then inspect the same workflow.

Moss may be more relevant when reimbursement management needs to connect with controlled card spend or invoice processing. These are named modules in the current package structure, so a buyer should specify which workflows it actually needs before asking for a quote.

The work it supports

Core capabilities

Start with a reimbursement claim and its receipt. The vendor describes web and mobile submission, plus OCR-assisted receipt reading that can prefill accounting details. A sample run should verify the fields and evidence required by the buyer’s own expense policy.

The current FAQ includes business expense and mileage claims. It also mentions per diems, but labels those Germany-only; teams in another country should confirm the local claim types and mileage rules rather than assuming the same menu everywhere.

Configured rules can route claims to the relevant approver. Finance’s review step can inspect or set accounting attributes before approval. This lets a buyer test who may correct coding, who may approve and what happens when a receipt is missing.

A disputed claim can be challenged back to the submitter, and an approver can reject it. The workflow can skip an approval step when the organization’s policy does not require one, so test the exception route as well as the ordinary happy path.

Approval is distinct from settlement. The help guide says an approved reimbursement appears on both Payments and Export, allowing the payment and bookkeeping handoffs to be managed independently. Do not treat an approval status as proof that an employee has been paid.

Where contracted and available, Pay with Moss can pay reimbursements from a Moss wallet balance. This is a separate payment workflow; check service eligibility, wallet setup, authorisation and fee terms before relying on direct payouts.

Moss can export reimbursement and recorded payment data to connected accounting systems, with a CSV route when a native integration is unavailable. Compare a small fictional claim, its approval and its accounting export to verify the fields the buyer’s ledger needs.

The platform’s Corporate Cards module describes physical and virtual cards with central limits and spend visibility. Accounts Payable covers invoice review, approval and payment planning. These adjacent workflows are useful to compare, but neither should be assumed to come with a reimbursement-only purchase.

Pricing and getting started

Moss presents a platform plus selectable spend modules and add-ons. Its pricing page describes a single platform fee based on chosen functions, without charging by user count, and a variable fee tied to expected monthly transaction volume. Card transactions, invoices and reimbursements all count as transactions in that definition.

The page invites businesses to start free with Cards or Accounts Payable, but does not establish that Employee Reimbursements is a universally free module. The paid package is tailored, and the page does not give a dependable public total for a particular country and transaction volume. Obtain a written quote for the exact modules, volume and add-ons.

Payment rights are another commercial check: paid-plan funding options are marked eligibility-dependent, and Pay with Moss international transfers can have payment-rail and FX fees in a fee schedule or quote. Confirm the registered-country terms and reimbursement payment method before budgeting the rollout.

Look a little closer

Before you choose

Country and product matter. Moss’s legal center directs companies to terms for their registered address and chosen services, with distinct entities behind cards, wallet, credit and payments. The FAQ’s Germany-only per-diem note is a concrete example of why a global marketing page is not a complete eligibility statement.

A reimbursement workflow is more than submitting a receipt. Confirm who reviews the accounting attributes, when approval is skipped, how challenges return to the employee, and whether the finance team uses direct Moss payouts or a separate payment route.

Before selecting modules, ask for a quote using realistic monthly counts of cards, invoices and reimbursements. The platform fee, transaction-volume fee, payment-rail/FX fees and eligible funding method can all affect total cost.

Use harmless fictional sample claims to compare receipt capture, approval, payout status and accounting export. The profile is based on public vendor guidance; it has not tested a live expense, connected bank, reimbursement or payment outcome.
