Find your fit
Who it is for
It suits a US small business that wants a traceable path from bill intake to approval and payment without handling every vendor transfer manually. Start with one fictional bill, one approver and one payment method to see whether the workflow matches your internal controls.
It also suits a team that issues customer invoices and wants a link for card or bank payment. Compare the outgoing-bill and incoming-payment sides separately: each may have different permissions, processor costs and accounting sync needs.
The work it supports
Core capabilities
Bills can arrive by camera upload, email sync or manual entry. Melio describes extracting vendor, amount, line-item and due-date details from imported documents; a payment operator should compare those fields with the original bill before approval.
A team can create a vendor or bill in Melio, or connect accounting software to bring vendor and bill records into the workflow. Test how duplicate names, credits and edited bills travel between systems before syncing a live ledger.
Payment approval rules can use amount, scheduler or vendor, with multiple approval levels described. The vendor says owners, admins and accountants can configure the workflows. Pilot an ordinary staff-submitted bill and a changed bill to learn which steps need reapproval in the selected plan.
A business can fund a bill by bank transfer or card while the vendor receives a bank transfer or check and need not open a Melio account. Confirm delivery method, timing, fee and the recipient details shown before submitting any real payment.
For a run of payables, Melio describes batch scheduling and combining several bills to the same vendor. Check whether an approval is applied to the batch, each bill or each payment in the actual account setup before relying on the grouping.
For money coming in, Melio describes branded invoices with a built-in payment link and status tracking while the payment is pending, in progress or complete. A buyer should test one fictional invoice and review how partial payments, changes and reconciliation appear in the chosen accounting system.
Customers can pay by card or ACH bank transfer without creating a Melio account. A separate custom link is described for collecting payment without attaching an invoice. Decide whether the customer or business will cover card fees, and inspect the checkout wording before sending links widely.
Melio describes QuickBooks and Xero synchronization for vendors, bills and payments. Verify the exact connector, direction of sync, field mapping and limits with a fictional transaction before connecting production books.
International vendor payments are advertised in USD and supported local currencies for eligible US senders. Confirm that your sending entity and recipient country are eligible, which exchange rate and fee appear before confirmation, and what delivery window applies to the chosen route.

Pricing and getting started
Melio offers Go, Core, Boost, Unlimited and quote-led Platinum. Go has no subscription fee for one user and includes five ACH payments a month before a listed per-payment charge. Core, Boost and Unlimited increase the included ACH allowance and team controls. Check the current plan table for the exact people, payment volume and approval rights you need.
Batch payments and custom approval workflows appear in paid tiers, while the vendor says invoicing and payment links are included across plans. QuickBooks Desktop and NetSuite support are listed for Unlimited. Confirm edition, connector and role access before comparing a lower subscription price with a higher-tier workflow.
Subscription price is only part of the cost. Payment-method and delivery fees can differ, and card-funded vendor payments differ from a customer card payment where the business can choose who covers the fee. Estimate a month of bank, card, check, urgent and international payments using the current fee schedule before choosing a tier.
Melio advertises a first-90-days offer with unlimited free ACH and advanced features. Treat that as an introductory promotion, then compare the regular subscription, included ACH allowance, extra users and transaction charges that will apply afterward. Verify eligibility, billing period, taxes and cancellation terms at signup.
Look a little closer
Before you choose
Before using real bank or card details, walk through a fictional supplier bill: import it, check extracted fields, choose an approver, inspect payment method and delivery, and compare the resulting accounting record. Document who can edit the bill after approval and who can release funds.
For receivables, send a sample invoice or link only within a controlled test, inspect card-fee presentation and payment status, then verify what the accounting connector records. US business eligibility, recipient country, currency and method fees still need checking in the live order flow; public feature descriptions alone do not prove a particular business can use every payment route.
