Find your fit
Who it is for
A records team can start with invoices, contracts or reports, group them by document type, tag and metadata, then let staff search text or filter a collection. The system is especially relevant when documents need version history and role-based control.
An organization can begin with the Default browser source and type, then add watched folders, scanner or email intake as its volume grows. That breadth brings setup work: choose who can upload, how records are categorized and how background processing will be checked.
The work it supports
Core capabilities
Capture files. A new installation has a Default source and type for the first browser upload. Other documented sources include server-side files, multifunction scanners, watched folders, object storage and IMAP/POP3 email accounts.
Classify documents. Document types group similar records and can control metadata and processing. Custom fields, tags and multi-level cabinets provide additional ways to organize and browse the collection.
Make content searchable. Background processing can prepare previews and recognize text. OCR handles scanned content; where PDF or office files already contain embedded text, the system can extract that layer for search without OCR.
Find and connect records. Search by document text, metadata or attributes, combine filters, and use automatically updated index trees based on metadata or properties. This can make a large collection navigable without manually filing every document into folders.
Keep history. Mayan EDMS stores multiple versions and can download or revert to an earlier one. Page rearrangement and composition can make new versions without altering the original uploaded files.
Control access. Roles determine which documents and actions users can access. Check-out can reserve a document for one editor and release it after an expiry period, reducing accidental overlap during review.
Run review processes. Workflows can represent an approval or review as successive states and trigger actions as documents move. Define the real approval owners and exception handling before automating a high-stakes process.

Pricing and getting started
The project calls Mayan EDMS free and open source, and its FAQ says a basic evaluation has no software licensing cost. The basic Docker Compose installation is not a reduced edition. Hosting, administration, backup and monitoring remain deployment responsibilities for the organization.
Docker Compose is the recommended standard starting point for learning and many small deployments. Larger environments require architecture choices for storage, monitoring, backup and recovery; the docs describe scale as an operations project rather than an upgrade to another software edition.
A public community forum offers self-guided discussion without guaranteed help. Direct consultation, deployment and other professional support are separate engagements; pricing depends on the work and requires contacting the team. Do not assume that free software includes a support contract.
Look a little closer
Before you choose
Pilot a representative file from browser upload through preview, OCR or text extraction, metadata, an index and a search result. Check which document types need extra metadata and whether recognized text is accurate enough for retrieval.
Test an actual correction: add a new file version, find the earlier one, and verify who can view, download or revert it. Apply role permissions and a short review workflow to a small set of documents before exposing a larger archive.
Estimate the server, storage, monitoring and recovery work for the intended volume. If staff need an SLA, migration guidance or organization-specific configuration, ask for a separate professional-services scope and quote.
