Leave Dates

What it does

Leave Dates is a staff leave and absence management application from Leave Dates Ltd. Employees request time off, approvers review it, and the shared calendar shows who is away. It combines allowances, leave types and reports in a focused HR workflow; the vendor positions it primarily for UK businesses.

Who it is for

A small or mid-sized employer replacing spreadsheet holiday records can give employees a place to request leave and managers a consistent approval queue. Teams with several departments can use the wall chart to spot planned absences before approving overlapping dates.

Organizations with part-time work, varied schedules or several absence categories can configure allowances in days or hours and use different leave types. Check the settings against the organization’s own policy; the software does not determine legal entitlement by itself.

The work it supports

Core capabilities

Start by setting the company work schedule and whether allowances are tracked in days or hours. Those choices affect how time off is deducted; review one fictional full-day and partial-day request before importing real balances.

An employee chooses dates, adjusts a full day to morning, afternoon or another timed period when available, and sees the expected allowance impact before sending a request. The request then appears as pending on the wall chart.

Approvers receive requests in their queue, can discuss them through comments and approve or decline. If a decision was clicked in error, the help guide describes an Undo action that returns it to pending.

The shared wall chart separates pending from approved leave. Overlap flags and configurable company or team limits can help an approver spot a staffing clash on an eligible plan; someone still needs to apply the organization’s scheduling policy.

Leave types can represent annual leave, sickness and other absences. Review which types should count against an allowance and which should be visible to colleagues before opening requests to the team.

A private request is still visible as grey leave to ordinary colleagues on the wall chart, while the employee and designated admins/approvers can see its details. An administrator can hide selected leave types more completely from colleagues; test both settings with fictional entries.

Admins and approvers can report on leave or sickness for a selected period, then filter the result by type or status. Compare a sample report with the payroll or staffing information you need before treating it as a handoff.

For new starters and leavers, the pricing feature list includes prorating allowances. Check a fictional mid-year start or departure against your own approved policy before importing balances.

Pricing and getting started

Leave Dates lists Starter, Essential and Plus. Starter covers requests, approvals, balances and basic reports; Essential adds TOIL, overlap/limit tools and Slack/calendar integrations; Plus adds advanced policy tools, API access and webhooks. Confirm current tier rights for any integration or policy feature you need.

The public pricing page displays a starting claim of £0.75 per user per month, with prices excluding VAT. Select the actual user count, tier, billing period and currency to review the current subscription total before choosing a plan.

The subscription guide advertises a 30-day trial without a card, monthly or annual per-user billing, a stated 25% discount for annual billing, and the ability to amend or cancel. Confirm the current checkout terms and what happens to records after cancellation before subscribing.

Look a little closer

Before you choose

Pilot with fictional employees: set allowance units and schedules, submit a partial-day request, approve it, undo a mistaken decision and check the wall chart and report. This tests the workflow without creating real HR records.

Review privacy before launch. A request marked private still signals an absence on the wall chart, while hiding a leave type changes what colleagues see. Confirm access for employee, approver, admin and ordinary colleague roles using mock data.

UK-centered product guidance does not replace local leave-policy or legal review. Validate configured allowances, proration, leave types and approval limits against the rules your organization actually applies, especially for staff in more than one country.

Choose a realistic user count and test both monthly and annual price displays. Compare Starter, Essential and Plus against the needed TOIL, calendar/Slack or API functions, and confirm VAT and billing currency before payment.
