Find your fit
Who it is for
It suits teams whose project records and approvals do not fit a fixed task board. The tradeoff is setup: decide which projects, people, dates and status changes the team needs before configuring an app or adapting a template.
Kintone can also serve departments building other database-backed apps. A buyer should decide whether the project app will be one shared workspace among several processes, or whether a simpler ready-made project tool would be easier to govern.
The work it supports
Core capabilities
The drag-and-drop builder lets a team create a database-backed app for a process. Kintone also supplies template applications. Start with a small project record and its needed fields, then adjust the template before importing a large existing spreadsheet.
The Project Management app pack contains a Project app and a Timesheet app. Project records can identify assigned members, link to timesheets and appear in filtered views. Because the pack is a configurable starting point, the team should check each field and relation for its own reporting needs.
The linked Timesheet app can associate member time with a project and route an approval request to a project manager. Test one fictional project and timesheet before assuming the packaged approval path matches the organization’s time policy.
Spaces can keep project files, data and conversations together. Kintone also describes threads and task records that hold discussion beside the work. Check how project spaces and app permissions are arranged so a conversation is visible to the right collaborators.
Process-management tools can structure project and task statuses, assigned work and approvals. Map the actual handoffs on paper first, then configure only the stages that affect a decision or responsibility.
Automated reminders can prompt upcoming deadlines, while notifications signal a handoff. Try the rule with fictional records and confirm who receives each message before enabling a live team-wide workflow.
Custom charts and graphs can show project status, team workloads and outstanding tasks. A dashboard is most useful when everyone agrees what the underlying status fields mean and who keeps them current.
Granular permissions can control who sees apps and parts of records. Review access with representative project roles before storing confidential customer, employee or financial details.

Pricing and getting started
The viewed US pricing page shows $24 per user per month with a five-user minimum, or $120 per month at that minimum. It describes one plan with included Kintone features. Confirm currency, taxes, payment frequency, seat changes and any regional or negotiated terms in a current quote.
The viewed plan table lists 50,000 records per app and 10,000 API calls per day. Estimate project, task and timesheet records as well as integration traffic before moving a large workflow, then verify current quotas in the proposed agreement.
The US pricing FAQ describes a 30-day trial with access to the product’s features. Kintone says trial data can roll into a purchased account, but is permanently deleted 30 days after trial expiration if no subscription follows. Schedule an export and decision before the trial ends.
The vendor mentions special pricing for eligible nonprofits, education and government buyers. Treat that as a request for a current quote, not an automatic discount.
Look a little closer
Before you choose
A useful pilot should model one project, its task records, an assignee change, one timesheet and one approval with fictional data. Compare what the template provides with the team’s real reporting and handoff requirements before building several overlapping apps.
Check app and record access, notification recipients and project status definitions together. A configurable platform gives teams room to fit their process, but unclear ownership can leave charts and reminders based on stale or inaccessible records.
Budget from at least five users on the viewed US page and include the effort to configure and maintain the apps. Recheck the current contract and record/API limits, and make a trial-data export plan before committing the team’s real project history.
