Insightly CRM

What it does

Insightly CRM tracks a sale from lead and contact records through an opportunity pipeline, then can carry a won deal into a linked project for delivery. Teams can keep the deal’s people, value, communications and follow-up work together. This listing covers Insightly CRM; the vendor also markets separate Marketing, Service and AppConnect products.

Find your fit

Who it is for

The CRM cards address small sales teams, growing businesses and larger organizations. It is a useful fit when a team wants both opportunity management and a post-sale project handoff without losing the relationship between the deal and delivery work. Compare the plan with the number of users, pipeline rules, reporting needs and email volume before choosing.

A buyer moving from spreadsheets should sketch a representative path: one qualified lead, a linked organization and contacts, a staged opportunity, then a won project. Keep a small fictional set for the initial check so fields, ownership and stage definitions can be corrected before importing real customer data.

The work it supports

Core capabilities

Lead and contact records are the starting point. A qualified lead can become an opportunity linked to related people and organizations. Define qualification criteria and duplicate-record handling so an opportunity represents a real potential deal rather than every inquiry.

Opportunities move through configurable pipeline stages. A record can hold its state, projected close date, value and related communication. Agree on stage exit criteria and who updates forecasts; a pipeline view is only as useful as the records the team maintains.

After a deal is won, Insightly CRM can convert the opportunity into a linked project. The vendor describes carrying client requirements and tasks into delivery, with the option to keep relevant emails and notes linked. Test the transfer with a fictional deal to see which fields and files actually move.

Project teams can use tasks, milestones, categories and customized fields within the CRM. This supports the handoff from sales to delivery, but the team should still define the project owner, deadlines and whether a separate delivery system remains necessary.

Custom reports can use standard and custom CRM fields. The vendor says all plans have dashboards, while configurable dashboard cards require Professional or Enterprise; mobile dashboards are read-only. Check which role needs to create or merely view each report.

Professional and Enterprise workflow automation can create notifications, follow-up tasks and approval steps from CRM events. Plus does not include this automation according to the vendor FAQ. Build one repeatable fictional process and inspect how it behaves when ownership or a stage changes.

Connected inbox syncing can tie email to a saved CRM Contact or Lead. Templates and daily sending limits vary by plan. Confirm which mailbox accounts may connect, where message history appears and how the team handles a contact who is not yet in the CRM.

Enterprise lists product catalogs, price books and quotes. The vendor describes configuring a quote inside an opportunity and generating a PDF or email. Treat quoting as an Enterprise evaluation item and confirm currencies, approvals and quote output before replacing an existing proposal process.

Pricing and getting started

The viewed CRM cards display Plus at $29, Professional at $49 and Enterprise at $99 per user per month, in USD when billed annually. Confirm the current term, seat count, taxes and any monthly-billing difference in the buyer’s quote; old downloadable price-comparison PDFs should not be used as current rates.

Plus covers lead/contact management, project management and reports. Professional adds lead routing and workflow automation; Enterprise lists sandboxes, product/price-book/quote tools and audit logging. Select by required rights and limits rather than assuming the broader Insightly platform is bundled.

The viewed Plus and Professional cards offer a 14-day trial without a credit card, while Enterprise asks buyers to contact sales. Marketing automation, AppConnect and support/ticketing have separate selections on the pricing page; verify any cross-product bundle in writing.

Look a little closer

Before you choose

For a fictional pilot, convert a lead, move its opportunity through two stages, save a communication, mark it won and convert it to a project. Compare the resulting people, tasks, notes and files with the source record, then run a report that both sales and delivery can interpret.

Before enabling automation or email for real contacts, decide who owns records and which approvals are required. Verify the quoted tier’s routing, workflow, email-send and quote rights, plus the distinct costs of any Marketing, Service or AppConnect companion product.
