Housecall Pro

What it does

Housecall Pro combines scheduling, dispatch, estimates, invoices and payments for home service businesses. It is designed to move a customer request into assigned field work and a bill without reconstructing the job in separate tools.

The work it supports

Core capabilities

Staff can create estimates with services and materials from a price book. The price book helps standardize descriptions and rates, but the business must set prices that reflect its own labor, materials and margin targets.

An estimate can lead into a scheduled job. Office staff assign and dispatch technicians, and the calendar keeps job details and recurring work in view. Test schedule changes and customer notifications with the actual field roles before broad use.

Invoicing follows the job record, and the business can send customers a digital invoice and record payment. Housecall Pro Payments requires account setup and bank verification before online collection through its processor.

Pricing and getting started

The pricing page describes Basic, Essentials and MAX. Basic includes scheduling, dispatch, invoicing and payments; Essentials adds tools for a growing team, while MAX lists deeper routing and integration options. Check the current feature matrix and user allowance for the selected plan.

Housecall Pro advertises a 14-day trial of MAX features without a credit card. A trial of the broadest tier can show features unavailable in a cheaper paid plan, so repeat the intended daily workflow against the plan being considered.

The pricing FAQ says upgrades take effect immediately and downgrades at the end of the current billing period. The offer also varies by monthly or annual billing, extra users and optional features; obtain the current account-specific terms before committing.

Look a little closer

Before you choose

Customers can request a booking through a website, Google or a direct link when Online Booking is configured. The business chooses available services, time windows, employee availability and whether prices, deposits or online payment appear in the booking flow.

Progress invoicing can split a job total into several percentage or fixed-amount invoices, each with its own due terms. The current help page says it must be enabled in invoice settings and applies to new jobs created after enablement; confirm availability in the actual account before promising staged billing.

Job costing reports can compare job costs with revenue when the job-costing setting is in use. Entering the relevant labor, material and other costs consistently remains necessary; the report is not a substitute for accounting reconciliation.

MAX lists Zapier and open API access. A business that depends on those connections should confirm entitlement, data flow and setup costs before making them part of the launch workflow.

Online card and bank collection uses Housecall Pro Payments. Payment methods and financing options have configuration and eligibility differences, and processing fees apply; verify the live processor schedule, settlement path and refund procedure for the business's region.

Pilot a representative request through booking, estimate, technician assignment, job changes, invoice and payment. Include a recurring job and a staged invoice if those are material, then inspect what the customer and field worker each see.

Keep customer messaging, employee location, price changes and payment permissions under named staff roles. Validate the planned reminders and payment settings with a controlled sample before using them on real customers.

If you may migrate away from Housecall Pro, have an Admin test both the Customers and Jobs exports while the account is active. Housecall Pro documents separate Actions > Export requests and emails a CSV for each list. Open both files and verify the fields and job history your next system requires before treating those lists as a migration path or backup; two list exports alone do not establish a complete account archive.

Before relying on Housecall Pro's mobile Offline Mode for field visits, test it with an assigned job. Its current guide says the app downloads jobs scheduled for today and the next two days, up to the ten earliest per day, and saves a snapshot from the last download. The mode is view-only: customer history, edits, payments and job completion still need a connection, and a weak but present connection may prevent the cached view from appearing. Check the last successful sync before leaving coverage and confirm any office changes after reconnecting.

Before turning on Housecall Pro invoice reminders, review who could receive them and how often. Its July 2026 Help guide says reminders apply across qualifying sent, past-due and unpaid invoices tied to finished jobs unless customers or tags are excluded; the email goes to every address that received the invoice. Set the frequency and a one-to-ten reminder maximum, then check a sample invoice's recipients and exclusions. The guide says reminders are incompatible with batch invoices and auto-invoicing, so confirm which billing workflow your team uses.

Housecall Pro's July 2026 Help guide says automatic job creation after a customer's estimate approval through the Customer Portal requires an estimate setting that is off by default. Staff approvals on web or mobile instead offer a 'Copy to job' checkbox. Test both routes with a sample estimate, then verify whether exactly one job was created before scheduling or billing; do not assume every approval creates a job.

Before cleaning up a Housecall Pro job, rehearse Cancel, Delete and Restore with a fictional job that has an invoice. The current guide says deletion removes the job from the Customer Profile but keeps it accessible in the account; cancellation can notify the customer and shows Canceled in their profile, depending on the Notify Customer choice. Restoring a job brings back its invoice but does not reschedule the job. For progress invoicing, deleting or canceling a job affects all its invoices; a single eligible invoice may instead be voided. Confirm customer notices, invoice consequences and who will reschedule before using these actions on real work.

Before enabling Housecall Pro's card-on-file automatic payments, compare its job-completion and invoice-due-date triggers. The due-date route needs a manually sent invoice and currently does not work with batch or auto invoicing. Auto-charge applies only to future finished jobs with a saved card; customer or tag exclusions can be set, and changing the amount after the trigger cancels the charge. A receipt goes out automatically, but sending the invoice is separate. Rehearse the settings with a fictional customer and confirm the selected trigger and exclusions before using a real card.

Before adding a Housecall Pro Service Plan to a customer, resolve any duplicate customer profiles that may need merging. Housecall Pro says a profile can no longer be merged with another once any Service Plan has ever been attached, including one that later expires, is canceled or is deleted. The restriction remains after deletion because a card associated with the plan cannot be moved to another customer profile for security reasons. Confirm the customer record before attaching a plan; deleting a mistaken plan does not restore merge eligibility.

Before using Housecall Pro estimates as a customer handoff, check who monitors failed sends. Its internal Notification Center lists failed estimate email and SMS sends separately from approval or decline; an admin or permitted office staff member can configure recipients and browser, in-app or push delivery. The center is web-only and stops displaying notices older than 30 days. Confirm plan access and the actual recipient and channel settings with an authorized sample, then investigate any failed-send alert. An unflagged alert list is not proof that the customer received or read the estimate.

Before putting Housecall Pro Online Booking on a site, distinguish its no-slot fallback from Manual booking. If no matching time is available, Send request creates a Lead in Job Inbox under Online Booking, not a booked job on the calendar; staff still need to contact the customer and schedule it. Manual booking is a separate preference that hides time selection and creates an unscheduled job or estimate. With Manual scheduling, online bookings go to the Point of Contact for later technician dispatch. Ask for a fictional, no-submit walkthrough of the customer wording, resulting record, owner and follow-up for each path before treating an incoming request as an appointment.

For a Housecall Pro Online Booking flow that asks for payment, check what happens when a customer does not pay during booking. Housecall Pro says it emails a payment link, and an optional setting automatically cancels an unpaid job after one hour and notifies both the business and customer. With a fictional booking and no payment or message sent, ask whether that setting is enabled, who watches for unpaid bookings and cancellation notices, and how staff would handle a customer who still wants service afterward. A booking record or payment-link email alone does not confirm a successful charge; verify the account's chosen setup before promising a held appointment.
