HelpSpot

What it does

HelpSpot is a help desk for turning incoming email, portal and API requests into trackable tickets. A team can assign an owner, work through statuses, and keep the conversation history with the request instead of relying on a shared mailbox alone.

Who it is for

It suits support, IT or internal service teams that need one person responsible for each request while still receiving work in a shared inbox. An agent can take or receive ownership and work from a personal queue.

Teams with repeated questions can publish customer-facing knowledge articles and keep separate internal agent documentation. The articles can be grouped into books, chapters and pages.

Core capabilities

Collect requests as tickets. Email, portal and API intake feed the ticket workflow, so agents can handle requests from multiple entry points in one place.

Assign clear responsibility. Each ticket has a single assigned agent; staff can assign manually, claim from the shared inbox, or use rules to route work.

Track progress. Default Active, Waiting and Solved states can be adapted with custom statuses, and a customer reply can reopen a closed ticket.

Automate routing and follow-up. Immediate triggers respond to ticket events, scheduled rules find lingering work, and mail rules classify incoming email before an agent sees it.

Publish self-service answers. HelpSpot supports customer-facing and internal knowledge pages, with helpfulness feedback and searches without results to guide what needs attention.

Pricing and getting started

HelpSpot sells annual subscriptions in agent tiers. Its pricing page presents the same listed price for Cloud or self-hosted service. The retained static page did not expose a numeric calculator result, so confirm the current tier, annual total and currency directly before budgeting.

A 21-day trial is advertised without a credit card. The vendor says a subscription continues the setup and tickets after trial; if the team does not continue, trial data is deleted.

Basic AI assistance is described as included with subscriptions, without a separate API key or per-usage fee for standard use. The vendor says future premium AI features may be separate, so check the intended feature and usage terms.

Look a little closer

Before you choose

A useful evaluation follows a representative request from arrival to assignment, waiting, resolution and a later reply. Inspect its public and internal notes, category, custom fields and searchable history to see whether the team can recover the context it needs.

For automation, set up a rule disabled and preview the tickets that match before enabling emails, notifications or reassignment. That keeps an initial test focused on the intended request set.

Self-hosting gives the team infrastructure control, and also gives it responsibility for patches, backups, tested restores and upgrades. Compare that operational work with the hosted option before choosing the same-priced deployment.

Self-hosted AI is not fully local: requests pass through HelpSpot’s hosted gateway and AI providers. A team with strict data-handling requirements should assess that path separately from its ticket database and can disable AI in administration.

The knowledge base can show article ratings and missing search results. Test a few real recurring questions to see whether customers can find an answer and still reach support when an article does not solve the issue.
