Frappe Books

What it does

Frappe Books is a free, open-source accounting app for a Frappe site. A team uses it in a browser to make sales and purchase documents, record payments and inspect financial reports. Its current product page describes a server-based app; the former standalone desktop version is no longer supported.

Who it is for

It suits a small business that wants to host its own bookkeeping system and can manage a Frappe site. Staff can record daily transactions while a Books Manager handles accounts, reports and settings. The buyer should plan for a bookkeeper or accountant to check setup and opening balances.

Frappe also sells the separate ERPNext product for a much broader operational scope. Frappe Books includes accounting plus some stock and counter-sale workflows, but its profile should be evaluated on the features documented for Books rather than assumed ERPNext modules.

The work it supports

Core capabilities

Create a sales quote, convert it to an invoice and record the customer payment. When a sales invoice is submitted, the system posts income and the customer receivable; check item rates, taxes and account mapping before submission.

Enter a supplier bill as a purchase invoice and record the amount owed. Submitting it creates ledger entries, so reconcile supplier details, expense accounts and taxes against a real sample before putting it into routine use.

Frappe Books keeps double-entry accounts and offers journal entries for transactions outside the normal sales and purchase flow. Profit and Loss, Balance Sheet, General Ledger and Trial Balance views support regular review of the books.

The first-use wizard sets company details and uses the country to prepare currency, chart of accounts and fiscal-year defaults. It creates bank and cash accounts; verify those choices with the accountant before posting live documents.

Documents move from editable Draft to Submitted, which posts ledger entries; cancellation reverses those entries. Staff should rehearse a harmless correction so they understand the supported reversal path rather than expecting to edit a posted invoice.

Assign Books User for day-to-day entry and Books Manager for account visibility, reports and settings. Test the roles with sample transactions so staff can do their work without exposing financial controls more widely than intended.

The product page also describes multi-location stock with batch, expiry and serial tracking, plus counter sales through Point of Sale. Treat those as separate workflows to test if inventory or retail checkout drives the purchase decision.

For migration, the Import Wizard can make new records from files, including old desktop templates, but does not overwrite existing entries. Bring forward a prior Trial Balance as opening balances, then reconcile the first new period before retiring the former system.

Pricing and getting started

The software is offered as free and open source with no subscription. The current version runs on the organization’s own Frappe server, so infrastructure, administration, updates and backups still need an owner and a budget.

The old desktop app is unsupported. The current installation guide requires the Frappe Framework develop branch, described as version 17 in development. Confirm the team’s tolerance for that dependency and obtain current support and deployment advice before moving live financial records.

Look a little closer

Before you choose

Trial a short accounting cycle on a nonproduction site: create a customer invoice, submit it, record payment, enter a supplier bill and compare the ledgers and reports with expected values. Ask an accountant to review the chart and fiscal-year settings.

When migrating, import a small sample first and check for duplicate or missing records. Reconcile opening balances from the prior Trial Balance and keep the old records available until the new reports tie out.

For an older Frappe Books desktop user, validate the import format and historical coverage explicitly; an available desktop template path does not prove that every former feature and record migrates automatically.

Confirm the current Framework branch, update and backup procedure with whoever will run the server. The documented backup includes the site database and files; keep its configuration with it, and decide how a failed update would be restored before relying on the new version for statutory books.
