Filestage

What it does

Filestage is online proofing software for moving a file from draft through feedback to a recorded review decision. A team creates a project, uploads files, arranges reviewer groups, gathers comments on a version and decides whether that version is approved or needs changes.

Who it is for

It is aimed at teams that review creative or marketing material with several stakeholders, including internal colleagues, clients and agencies. The value to assess is whether one shared review space can replace the team’s scattered email comments while preserving the right approval order.

Filestage handles more than PDFs: its pricing page lists video, images, designs, documents, websites, interactive HTML and audio. A buyer should test the actual formats and file sizes used by the team, especially any interactive material, before migrating an entire approval process.

The work it supports

Core capabilities

Projects hold the files, their versions and the people involved. Reviewer groups let the project owner set who reviews at each step and in what order; create a small pilot with an internal round and an external round to see whether feedback remains in the intended group.

Reviewers can be invited or receive a review link and give feedback without opening a full account. The help guide says they provide a name and email, and see only the reviewer group they were invited into. Treat a shared link as access to that group’s material and check link and permission settings before using confidential files.

The file viewer supports pen, shape and text-highlight annotations. Ask reviewers to mark a specific issue on a sample asset, then inspect whether the resulting comment gives a designer enough context to make a change.

A reviewer submits a decision such as Approve Version or Request Changes; the project administrator can also enable additional decision types. The dashboard shows who has responded and whether a file is In review, Needs changes or Approved. Confirm which decisions count as final for the team’s real sign-off policy.

A replacement upload becomes a new file version; older versions and comments remain available in file history. The guide says the new version starts without inherited comments. Compare a revised sample against the previous version and confirm which reviewer groups can see each round.

Deleting a version permanently removes that version and its feedback. Archive a finished project or export needed review evidence before deleting any version used for compliance or client records.

Pricing and getting started

The Free card lists one active project, five new file uploads per month, two reviewer groups and ten team members. It also lists unlimited reviewers and annotation tools. That can support a small trial workflow, but a team with frequent new assets should count monthly uploads before relying on Free.

The viewed pricing page displays Starter at $199 per month and Business at $329 per month. Starter lists unlimited active projects and new files, due dates, version comparison and password-protected review links. Business adds automations, review agents, three reviewer groups and extra review decisions. The dollar symbol alone does not establish checkout currency; confirm the selected billing interval, taxes, seat additions and feature rights.

Enterprise is quote-led and lists broader organizational and access controls, audit logs, SSO and data-residency choice. Check whether those controls, rather than a higher project count, drive the purchase decision for a regulated or larger team.

The FAQ describes a 14-day feature trial that changes to the Free plan unless upgraded. It says monthly or annual subscriptions are paid in advance and renew automatically unless canceled before the notice period. Trial access should not be mistaken for permanent Free or Starter entitlements.

Plans begin with ten team-member seats; paid plans add seats in bundles of five, with a stated additional 1 TB of storage per bundle. A separate help page says plan changes take effect immediately and proration is credited to the next invoice. Ask for the actual seat and storage total before a wider rollout.

Look a little closer

Before you choose

For a safe evaluation, upload a fictional document or design, invite an internal and an external reviewer, collect one annotation and one change request, then upload a revision and record an approval. Check what each reviewer can see, whether the decision history is understandable, and what the chosen plan includes.

Before using real client or regulated material, review access through shared links, the permanence of version deletion, retention and export needs, and the current contract’s security controls. An approval recorded in the product does not by itself prove legal, regulatory or organizational sign-off.
