Find your fit
Who it is for
A sales team with several people touching the same accounts can use EspoCRM to keep relationship history, pipeline stages and activities connected. A team running its own server should assign an owner for hosting, updates and access controls.
It can also fit organisations that need cases and campaigns alongside sales records, provided they test their actual email setup and decide whether optional Sales Pack functions such as quotes or inventory are needed.
The work it supports
Core capabilities
Relationship records. Keep company accounts and their contacts together. Start with a lead, then convert it into an account, contact or opportunity as qualification progresses; the original lead stays in the system with converted status.
Sales pipeline. Track opportunities through stages such as qualification and proposal, and adapt stages to the actual sales process. Add meetings, calls and tasks to the linked records so handoffs have context.
Communication and adjacent work. Link synced email to records, send from the CRM, organise support cases and run marketing campaigns. Pilot each channel with sample records before routing customer communication through it.
Configuration and access. Add custom entities or fields when the standard records do not fit. Assign roles to users and teams, then inspect the resulting permissions because the most permissive applicable role can prevail.
Migration and exit. Export selected record fields and test a sample download. Administrators can restrict export for non-admin users or by role, so confirm the migration operator has access before a cutover.
Optional Sales Pack. Quotation, invoicing, purchase, subscription and inventory workflows are presented as an official add-on. Scope and test that extension separately from the core CRM before promising those functions to a team.
Understand the offer
Pricing and getting started
The self-hosted core is free and open source under AGPLv3, with no per-user core license fee on the download page. The organisation still runs its own server and administration; obtain separate terms for any official extension it needs.
EspoCRM Cloud is a separate per-user purchase: the current page shows Basic from three users, Enterprise from five and Ultimate from ten. Basic and Enterprise are billed in six-month or annual periods even though prices display per user per month; confirm the current quote and capacity before subscribing.
A 30-day Cloud trial is advertised. The hosted page says extensions are included, but cloud administrators cannot install them directly and must contact EspoCRM when another extension is needed. Compare this with any extension purchase for self-hosted use.
Look a little closer
Before you choose
Walk one realistic lead through conversion and opportunity stages, then inspect the linked account and contact records. Try a meeting and email so the team can see whether the activity history is complete.
Check role access with a salesperson, manager and export operator. More permissive roles can override restrictions, while export may be disabled for non-admin users; a sample export tests both access and data portability.
List any quote, invoice or inventory requirement before selecting a plan. Sales Pack is an add-on on the self-hosted side, whereas Cloud advertises included extensions with vendor-managed installation.
Budget the deployment that will actually be used: self-hosted core with server operations, or Cloud with seat minimums, billing commitment and trial terms. Do not infer that a no-fee self-hosted core means no hosting or extension cost.
