Find your fit
Who it is for
The project addresses small and large organizations, freelancers and associations. It is useful when sales, quoting and billing need to share customer and product information rather than live in disconnected spreadsheets.
A sales team can assign account records to representatives, track prospect status and potential, and attach the right contact or address to a proposal. More advanced lead tracking is presented as a separate module, so teams should check the exact prospecting workflow they need.
The work it supports
Core capabilities
Create a prospect or customer as a third-party record, add email, address, tags or custom fields, and keep notes or files with it. Separate contacts and addresses can be selected for business documents, which matters when the buyer, approver and delivery contact differ.
Dolibarr lets a team assign a sales representative and set a prospect status or potential. Lists can be filtered, and the site describes event history through Agenda when that module is configured. Test those settings with a few sample records before relying on them for a shared pipeline review.
A commercial proposal starts as a draft, moves through validation and can be marked signed or refused. The proposal module is included in the distribution but needs administrator activation. A signed proposal may become an order or invoice, depending on the configured workflow.
When a quote is accepted, the associated prospect can become a customer. This keeps the handoff tied to the original third-party record. Check the timing of that status change in a sample sale so reporting and follow-up rules match your team’s process.
A reusable catalog holds products or services and their prices, taxes and custom fields. The same items can appear in proposals, orders and invoices, reducing repeated entry when a sale advances.
Orders can begin from a customer record or signed proposal and use catalog items or manually entered lines. Depending on active modules, an order can lead to an invoice, contract or intervention; that configuration should be mapped before treating the flow as automatic.
Invoices can start directly or from a proposal or order when the relevant modules are enabled. The billing page describes email delivery, payment links through named providers and reminders, while exports can move invoice and payment data to other tools.
The optional Projects module can follow opportunities, organize tasks and time, and link proposals, orders and invoices to the same project. This is useful for work that continues after a sale, but it is a distinct module to configure and test.

Pricing and getting started
Dolibarr describes the software itself as free and open source. The official download page links stable production packages on SourceForge and separately labels a development snapshot as unstable. A self-hosted team still needs to arrange its own server, maintenance, backups and support.
Local/on-premise and hosted SaaS routes are both described. The official wiki lists multiple commercial hosting services, so a cloud offer’s price, support, data location, upgrade schedule and backup terms depend on the provider selected. Confirm the written offer rather than assuming one Dolibarr-wide subscription.
Plugins and add-ons are directed to the separate Dolistore marketplace. Check whether a proposed extension is included, compatible with the chosen version and host, and separately priced before budgeting it as a core feature.
Look a little closer
Before you choose
Set up a fictional prospect, assign an owner, add an alternate contact, then make a proposal and move it through draft, validated and accepted states. Check what becomes a customer record and what needs an enabled module or manual handoff.
Create one reusable service item, take it through proposal, order and invoice, and inspect taxes, line descriptions and document recipients. This small trial reveals whether your real sales-to-billing process fits the configured modules.
If opportunities continue into service delivery, test the optional Projects module with a sample task and linked order or invoice. Confirm which staff can see and update those links before importing live work.
Before importing customer data, choose who will operate the installation, handle backups and updates, and support users. For hosted offers, get the specific provider’s data, export, support and extension terms in writing; the open-source download and a managed subscription are different arrangements.
