Dext

What it does

Dext gathers receipts, invoices and employee expenses, extracts fields such as supplier, date and tax, then helps a business or bookkeeper review and send coded records to accounting software. Claims and approvals cover reimbursement work; the connected accounting system remains the ledger. The useful sequence is capture, check, approve when needed, publish and reconcile.

A business can use Dext directly or work in an account paid for by its accountant. Accounting practices have a separate multi-client plan structure. Match the buyer’s plan and permissions to the workflow before assuming that a feature shown on a public page is available to every user.

Who it is for

A small business collecting receipts from several employees can let each person submit documents by phone, email or upload, while a reviewer checks extracted fields before posting. This is most useful where paper and inbox attachments are delaying month-end coding.

A finance manager handling out-of-pocket spending can group items into employee claims and route them for approval. Set approvers, self-approval rules and claim permissions before relying on the workflow for reimbursements.

An accountant working with several clients can use practice access to collect their documents and review bookkeeping data, but should price the practice subscription by client and confirm which Advanced oversight tools are actually included.

The work it supports

Core capabilities

Submit receipts and invoices from the mobile app, web upload, an assigned email address, Fetch or WhatsApp. Dext extracts supplier, date, total and tax details into an inbox where a human can correct mistakes before publishing.

Create an expense claim from reimbursable items and associate it with the person owed. Claim creation requires the right role or permission; it is not part of Dext Solo.

Admins can build multi-stage approval workflows with managers or named reviewers and conditional amount thresholds. Optional auto-publish can send a claim after all stages pass, so test the route and manager assignments with fictional data before using it.

Supplier rules can prefill coding, and auto-publish can send qualifying extracted items without individual review. Start with limited rules and compare the published account code and tax treatment with the original receipt.

Connect one main accounting system, such as Xero, QuickBooks or Sage, to import categories and contacts and publish coded items with their document images. Destination and status options vary by integration; verify them before a live batch.

When an accounting connection is unsuitable, Dext can still capture and review documents, then export records as PDF, CSV or ZIP. Check the export fields and document images with a sample batch before a migration.

The mobile app can capture receipts and invoices, create claims and publish items where account rights permit. Bank feeds or statement extraction can bring transactions into view, while Bank Match helps spot missing supporting paperwork.

Practice accounts add a multi-client workspace. Practice Essentials and Advanced are separate from Dext Business, with Advanced offering more team, workflow and practice oversight tools.

Pricing and getting started

Dext Business is one scalable plan: the current Help description starts at five users and 250 processed documents per month. Its included extraction credits are separate from the main document allowance and reset monthly. Estimate both the number of submitters and monthly document volume.

On the US pricing page checked October 26, 2026, the five-user, 250-document selection displayed $25.21 USD per month when billed $302.50 annually, excluding tax. That is a dated annual selection; compare monthly billing, local currency, entities and the actual checkout terms before budgeting.

The Help page describes a 14-day trial without payment details. Annual billing is charged upfront, while the pricing page describes notice before annual renewal. Review cancellation and renewal dates alongside the quote.

If monthly document volume is exhausted, newly uploaded documents may wait without extraction until renewal or an upgrade. Extra statement/line-item extraction, Commerce Lite, Vault capacity and AI Assist may add charges or have separate rights.

Dext Payments is separate from the document and claim workflow. Official Help currently conflicts on whether Canada is available and on the required connection, so request a market-specific demonstration and written fee/eligibility details before planning supplier or employee payouts through Dext.

Look a little closer

Before you choose

Before real receipts are submitted, agree who can see business documents, create claims, approve spending and publish to the ledger. A sample with fictional data should show whether an item stays in review, is approved and reaches the right account.

Reconcile plan allowances with a typical busy month, not only the trial week: users, ordinary documents, statement sheets, line items and entities can follow different limits. Check the selected country pricing page and any accountant-paid arrangement.

Confirm the exact accounting connector and publishing destination, especially if more than one ledger or entity is involved. Dext permits one main accounting connection per account, and a disconnected workflow may require export instead.

Separate source capture from automated coding and payment authority. An extracted field, an approved claim and a completed payout are different checkpoints; keep a reviewer and reconciliation owner in the process.
