Deputy

What it does

Deputy handles the connected workflow of planning employee shifts, recording actual hours and preparing timesheets. A manager can publish a roster, handle a shift change, then review what staff clocked before payroll export.

Its core appeal is a shared schedule and time record for shift-based teams. The payroll export is part of the handoff from recorded hours; Deputy Payroll enabled by Paycor is a distinct, region-limited add-on.

Who it is for

A small business replacing a spreadsheet roster can start with Lite scheduling and time clocking, while checking the minimum monthly invoice amount against its user count.

A team with frequent last-minute changes can use the scheduling tools to revise and share shifts. Test a real change scenario before choosing which staff can offer, accept and approve a shift.

A multi-location or variable-demand operator can compare Core’s advanced scheduling and forecasting with its actual coverage and budget rules. The vendor describes those as Core additions, not a reason to assume they are in Lite.

The work it supports

Core capabilities

Schedule shifts. Build rosters with drag-and-drop shifts, then share them with staff through web or mobile. Confirm the approval path for swaps and replacements in a trial.

Clock time. Staff can clock in and out on a phone, tablet or desktop. Review worked time against the planned shift and test how corrections reach a manager.

Prepare timesheets. Clock events create timesheets, and Deputy describes exporting timesheets to payroll with one click. Check manager approval, break and correction handling in a trial before payroll cutoff.

Pricing and getting started

On Deputy's Annual billing display, Lite is USD $5, Core is USD $6.50 and Pro is USD $9 per user per month, before taxes. The Monthly toggle has separate prices. Confirm the country, billing term, current rate and total quote before buying.

Lite includes basic scheduling, timesheets and clocking. Core adds advanced scheduling, demand forecasting and timesheet auto-approval. Pro adds advanced timesheets, custom access and other management features. Choose by the functions needed rather than assuming a higher tier changes basic time capture.

The FAQ lists a minimum monthly invoice spend for monthly Lite, Core and Pro: USD $30, AUD $30 or GBP £20. It counts administrators and supervisors as users; adding, archiving or unarchiving a user can still incur a full monthly user charge. Confirm the current minimum and billable roster size.

Annual billing is charged up front. The FAQ says an annual plan cannot be downgraded or have the employee count lowered during the term, and early cancellation is not refunded. Compare this commitment with the Monthly option before choosing the displayed Annual rate.

Payroll enabled by Paycor, Deputy HR, Messaging+ and Analytics+ have separate add-on rows and conditions. The current comparison shows Messaging+ and Analytics+ included with Pro, while Paycor payroll is shown for annual Core and Pro in the U.S. Treat payroll service and broader HR features as separate purchase decisions.

The feature page advertises a trial up to 31 days without a credit card. This is an upper-bound offer, not a guaranteed term for every signup; confirm the actual trial duration and feature access in the intended region.

Look a little closer

Before you choose

Create a sample week with the real team roles and break rules. Publish a test roster, change a shift and check how staff availability is reflected in the schedule.

Have a test user clock in, take a break and clock out. Review the resulting timesheet, make a correction and check who approves it before any payroll export.

If the business relies on local wage-and-hour rules, review the configured labor settings with a qualified operator. Deputy describes guardrails, including U.S. requirements, but a public feature page cannot verify a particular employer’s compliance.

Count everyone who needs a login, including managers and supervisors, and compare the monthly minimum with per-user charges. Ask how casual, archived and reactivated staff affect invoices.

If exporting to payroll or a POS, test the exact connector, pay codes and field mapping with sample records. The vendor advertises integrations, but no specific system pair or live export was tested for this profile.

Confirm the exact plan, country, trial length and quote in the buying flow, especially if scheduling rules or payroll exports are central to the decision.
