Daylite

What it does

Daylite is an Apple-native CRM that keeps client conversations, sales deals, follow-up tasks and service projects connected. A team can record a relationship, track an Opportunity through a sales pipeline, then manage the resulting project without scattering notes and next steps across separate tools. It is designed for work on Mac, iPhone and iPad.

Find your fit

Who it is for

Daylite suits a solo professional or small service team whose daily work starts with client relationships and often continues into delivery. Leap is sized for one person with a modest contact list; Growth and Scale expand user, contact and connected-email allowances for larger teams.

It is a narrower fit for organizations whose staff need Windows or Android access, since Daylite describes its app as only for Mac, iPhone and iPad. Teams with locked-down email accounts should also check their mail setup before treating the integrated inbox as a working requirement.

The work it supports

Core capabilities

Client records bring emails, meetings, tasks and notes together. A saved email can be linked to a contact, deal or project so another teammate can see the history; a message can also become a follow-up, to-do or appointment. The useful outcome is a visible next action beside the conversation that prompted it.

Daylite Smart Lists can segment contacts by service history, referral source or last contact and update as records change. Activity Sets provide reusable checklists of tasks, follow-ups and appointments for a contact, Opportunity or Project. A team can test a short onboarding checklist before turning a repeatable process into many tasks.

The Opportunities Board gives a visual view of deals in the sales pipeline. A team can define its stages and sort deals by value, close date, probability or owner to decide what needs attention. Daylite also links Estimates to Opportunities, keeping a proposed quote beside the deal it belongs to.

Daylite Projects keeps people, emails and work details connected after a sale. Customizable project pipelines can reflect repeatable delivery stages, while the calendar shows tasks and deadlines together. That helps a services team see both the client context and the work still due.

Contact migration can start from Apple Contacts, vCard or a CSV/TSV spreadsheet. Try a small representative import first and inspect names, companies and duplicate results before moving the full address book; the official guide describes each source route but no automatic cleanup guarantee.

Daylite has two useful export paths. A user can export selected rows and visible columns from a filtered list as CSV or tab-delimited text. The Account Owner can request a complete database archive containing CSV tables and attachments; once prepared, that download is available for 14 days.

Mail in Daylite brings an inbox into the Mac app on macOS 14.4 or later. The pricing page lists iCloud, Gmail, Office 365, Outlook.com, AOL and IMAP-compatible email services, but current Help says Outlook or Office 365 accounts need IMAP access. Drafts stay on the device rather than syncing to the mail server. The separate Daylite Mail Assistant extension remains an Apple Mail route for linking correspondence to CRM records.

Pricing and getting started

Leap includes one user, one connected email account and up to 500 contacts. Growth raises the limits to 20 users, three email accounts per user and 25,000 contacts. Scale raises them again to 100 users, ten accounts per user and 250,000 contacts. Tailored is a custom quote for organizations with ten or more users and special requirements.

The official pricing page captured in October 2026 shows two USD billing states: monthly Leap $20, Growth $40 per user and Scale $60 per user; annual billing displays $15, $30 and $45 per month respectively. Confirm the selected period, user count, region, tax and payable total before subscribing; the annual figures are billed annually.

Daylite advertises a 14-day full-product trial without a card required to start. Its FAQ says upgrades take effect immediately with prorated billing for the partial cycle; downgrades apply the lower limits while existing data remains. Check how a planned downgrade would affect access to records above the new allowance.

Look a little closer

Before you choose

Pilot the full path with fictional client data: import a few contacts, save an email, turn one message into a task, move an Opportunity through the intended stages and link a small Project. This checks whether the CRM-to-delivery workflow matches how the team actually works.

Check every required device and mailbox before rollout. Daylite's stated platform is Mac, iPhone and iPad. The integrated Mac inbox needs macOS 14.4 or later, and Outlook/Office 365 use currently needs IMAP permission; drafts are local to the device. A team that relies on synced drafts or a restricted corporate mailbox should test that constraint first.

Budget for the actual plan limits rather than the trial's full access. Count users, contacts and email accounts per person, then compare Leap, Growth and Scale at the intended billing term. If the team may downgrade, verify what the new limits mean for day-to-day use even though existing data remains stored.

For an exit plan, test both a filtered list export and the Account Owner's complete archive. The former depends on visible columns and selected rows; the latter includes database tables and attached files but is only available for a limited download window after processing.
