Find your fit
Who it is for
The product fits service teams that schedule consultations, classes, rooms or equipment and want guests to choose an available slot online. A solo provider may need only a booking page and calendar sync; a team sharing rooms should test joint staff-and-resource availability and the cost of every bookable resource seat.
Before setup, sketch one ordinary appointment and one that needs both a person and a resource. Specify the duration, buffer, intake questions and whether the request should confirm immediately or wait for approval. This small test exposes double-booking or permission surprises before real clients see the page.
The work it supports
Core capabilities
A customized page presents services and available times. Booking types can set different durations, advance booking windows and buffer time, and the page can be linked directly or embedded on a website. Preview the final guest path on a phone and in the site widget before sharing it broadly.
Google and Outlook calendar sync blocks time that is already occupied by connected events and adds CozyCal bookings to the selected calendar. Confirm which calendars are read and where new appointments are written, then test a fictional conflict so two systems do not promise the same time.
A shared team page can distribute bookings round-robin, prefer a designated host or find pooled availability when multiple hosts are needed. Individual staff pages remain possible. Test each route with a small schedule to see who receives the booking and what happens when a host is unavailable.
Resource booking covers rooms, studio spaces and equipment with their own availability. CozyCal also describes reserving a team member and a resource in one flow, checking both before offering a slot. Map each real room or item to the correct calendar and include those resources when estimating paid seats.
Intake forms collect details before a booking. When event requests are enabled, the organizer can review the answers and approve or decline; the resource guide says the requested slot is held temporarily during review. Set a response routine so a pending request does not leave a guest unsure whether the appointment is confirmed.
Confirmation and reminder emails keep guests informed. SMS reminders can be timed ahead of an event, but the feature page currently limits them to US and Canadian users. Test the actual country and phone-number path before depending on texts for attendance.
Connecting Stripe allows payment at booking and can support coupons or add-on items; packages can bundle multiple sessions. Keep the unpaid scheduling pilot separate from payment setup until prices, cancellation terms and the customer checkout flow are ready to review.

Pricing and getting started
The viewed USD page lists Pro at $20 per seat when paid monthly or $15 per seat per month with annual billing, and Plaid at $30 or $25 on the same terms. The bill grows with team members or resources counted as seats, and newly added seats are prorated. Estimate the actual staff and bookable-resource count rather than pricing only the administrators.
Pro includes the core scheduling features. Plaid adds a custom-domain booking page, emails sent from the business's domain and complete CozyCal branding removal. These are useful only if the customer-facing appearance or sender identity is part of the requirement; compare those rights before paying the higher per-seat rate.
CozyCal says there is no ongoing free plan and offers a ten-day trial without a credit card. Downgrades or cancellation take effect at the end of the current billing cycle, and unused prepaid annual time is generally account credit rather than a refund. Check the term and the number of seats before subscribing.
Look a little closer
Before you choose
For a low-risk evaluation, publish a fictional service, connect a noncritical calendar, and request a time that conflicts with an existing event. Add a room to the same request, then test approval and decline. This checks calendar blocking, combined availability and what the guest receives while a request is pending.
Before choosing a paid tier, count staff and resources, confirm whether Plaid branding controls are needed, and check SMS availability for the intended country. If appointments will be prepaid, inspect the Stripe connection and guest checkout separately; the scheduling subscription itself does not establish payment-processing terms.
