ClinicSense

What it does

ClinicSense is practice software built around practitioner schedules and client online booking, with related intake forms, SOAP notes, invoicing and payments. A practice sets its services and availability, lets clients choose a time, then manages reminders and the resulting appointment record in one system.

Who it is for

The vendor addresses massage, physical and occupational therapists and other wellness practitioners. It is most relevant when the practitioner calendar, client booking and paperwork must fit together; compare its appointment limits and regional features with the actual practice workflow before choosing a plan.

A solo or part-time practitioner can evaluate one service and one booking calendar first. A larger clinic should map each practitioner to eligible services, test shared-calendar visibility and count expected monthly appointments and paid practitioner seats.

The work it supports

Core capabilities

Online booking uses the availability and rules the practice configures. A useful pilot sets one service, a realistic working window and a gap between appointments, then checks the slots a fictional client can see before making the booking page public.

The shared calendar shows appointments and practitioner availability. Services can be linked to the practitioners who offer them, while buffers, recurring gaps and one-off blocks shape the available time. Check a two-practitioner sample so a service cannot be booked with the wrong person or through a blocked period.

Staff can create, move, cancel and reschedule appointments. Test a fictional change and inspect the calendar and client-facing notice settings so a moved visit does not leave conflicting information.

ClinicSense describes one-way Google Calendar export and a two-way mode in which personal-calendar entries block ClinicSense time. Verify the chosen direction with sample events and confirm exactly which details appear in the external calendar before connecting a real schedule.

Reminders can go out automatically after booking, with clients choosing email or text. The current Lite card lists email reminders, while Standard adds SMS; the booking page says SMS is available only in select regions. Confirm entitlement, consent, delivery region and wording before sending real reminders.

The vendor says service-specific intake and consent forms can be sent after booking, using templates or custom forms. Pilot with fictional answers and confirm form timing, who can see them, and how signed records are retained before collecting real health information.

SOAP note templates and duplicate/edit tools are described for appointment documentation. Verify practitioner access, note-finalization and record-retention requirements against the practice’s own obligations; the public feature page alone does not establish clinical or regulatory compliance.

ClinicSense describes invoices generated from appointments and financial reports for balances and revenue. It also describes card payments through Square online or in person. Confirm processor availability, fees, refund behavior and how a test invoice reconciles before accepting patient payments.

A TELUS Health eClaims integration is described for eligible practitioners in Canada only. Confirm profession, payer and plan eligibility with the vendor; it should not be treated as universal insurance billing.

Pricing and getting started

The viewed monthly USD pricing shows Lite at $39 for up to 20 appointments per month, Standard at $69 for up to 200, and Premium at $99 with unlimited appointments. Check how the vendor counts bookings, cancellations and team appointments before selecting a tier.

Lite lists online booking, email reminders, SOAP notes, intake forms and financial reports. Standard adds SMS reminders, wait-list tools and packages/gift cards; Premium adds VIP support and removes the appointment cap. The displayed Standard and Premium cards list another practitioner at $20 per month, so a multi-person clinic should compare total seat cost and feature eligibility.

The pricing page offers Monthly and Annual selections, with an advertised one-month-free annual comparison, and a 14-day trial without a card. The amounts above are from the viewed monthly USD cards; confirm current annual charge, taxes, renewal terms and post-trial access before subscribing.

Look a little closer

Before you choose

A practical evaluation can use fictional practitioners and clients to book a service, apply a buffer, reschedule, choose a reminder method, complete a dummy intake form and inspect the resulting invoice. Keep test data clearly fictitious and review access before entering real client health or payment information.

Before launch, verify the appointment cap, practitioner charges, SMS region, Square terms and any Canadian eClaims eligibility in writing. Vendor claims about fewer no-shows, better care or faster payment are outcomes to measure in the practice, not guaranteed results of installing the software.
