Find your fit
Who it is for
A solo business or very small team can start with Free if two users, 250 contacts and one pipeline are enough. Starter provides more contact room and basic team tools; Growth is the more relevant comparison if separate sales processes, project boards, access controls or automatic handoffs matter.
The best fit is a team willing to maintain contact history and opportunity stages consistently. Capsule can show the next task beside a deal, while administrator-defined Tracks help turn a repeatable follow-up pattern into a sequence of due tasks.
The work it supports
Core capabilities
A contact record can hold calls, emails, notes and custom details about a person or organization. Full-text search across notes and emails helps a teammate recover a conversation before calling back. Decide which details should be custom fields before importing a large address book.
Capsule accepts contact files in CSV or Excel format. Person and Organization details may need separate spreadsheet rows, and the import flow offers choices for detected duplicates: create new contacts, ignore them or update existing records. A small sample import is a sensible way to check field mapping and duplicates before migrating the whole file.
The sales pipeline puts Opportunity cards in Milestone columns. Moving a card changes its stage, and a deal can be marked Won or Lost. The visual board handles up to 500 Opportunities; larger sets need a filtered board or the List View.
Opening an Opportunity preview shows the primary contact, stage, value or expected close date, recent activity and next task. A user can log activity or add a task there. This is useful for a quick pipeline review without opening every deal as a full record.
Tasks can be linked to Contacts, Opportunities or Projects, so a scheduled follow-up appears where the work is tracked. An administrator can define a Track: a repeatable sequence with task due dates tied to its start or the prior task's completion. This helps a team use the same steps for common sales or delivery work.
On Growth, Advanced and Ultimate, an administrator can set a Workflow Automation for an Opportunity or Project. Stage or status changes can assign a user or team, add a Track or create a linked Project. Test a small fictional process before turning one on for the whole account, since these actions change live work records.
Capsule offers an account export as a ZIP of Contacts, Opportunities and Projects CSVs, including note and email history in their final columns. File attachments are omitted and need separate record-by-record downloads. Include that gap in any migration or backup plan.

Pricing and getting started
Free covers up to two users, 250 contacts, five custom fields and one sales pipeline. It is a practical test for a small contact-and-deal process, but a larger team or address book will need a paid tier.
Starter lists 30,000 contacts, templates, a shared mailbox and basic reporting. Growth raises the contact allowance to 60,000 and adds Workflow Automations, multiple sales pipelines, multiple project boards and team access controls. These distinctions matter more than choosing on contact count alone.
Advanced and Ultimate raise account limits further, with Ultimate also offering dedicated help during onboarding and account management. Capsule presents paid plans per user per month, with annual and monthly billing choices, and advertises a 14-day trial without a card. The static official capture did not establish one reliable rate; verify the current selected plan, billing period and seat count before buying.
There is no stated notice period for canceling, but Capsule says account data is permanently deleted 14 days after cancellation. Export the records first and separately collect any file attachments that the account export omits.
Look a little closer
Before you choose
Start with a representative sample of people, organizations and existing deals. Check whether spreadsheet rows become the intended Person and Organization records, and choose a duplicate policy deliberately before importing the full database.
Sketch one real sales process and list its Milestones before configuring the board. If the team has different deal types or needs several pipelines, Growth is the named tier to inspect. If the visual board becomes crowded, use filters or List View above 500 Opportunities.
For a repeatable handoff, try a Track on a fictional Opportunity and inspect task due dates. If automatic assignment or Project creation is essential, check the Growth-or-higher entitlement and have an administrator test the trigger and resulting records.
For an exit plan, inspect the CSV export and identify records with attachments before cancellation. Capsule's export contains contact, opportunity and project data plus note/email history, but attached files do not come with the ZIP.
