Bonsai

What it does

Bonsai is business management software for client service work. A project links tasks, files, tracked time, budget and billing so a freelancer or team can follow work from scope through delivery and, on an eligible plan, invoice the client.

Who it is for

The vendor aims Bonsai at freelancers, small teams and agencies. It is useful when client work has both an operational side, such as assigned tasks and hours, and a commercial side, such as budgets, proposals or invoices.

A buyer who only needs projects, tasks and time may start by evaluating Basic. If the same workspace must send invoices or contracts, compare Essentials or higher; do not assume the Basic subscription includes the billing workflow simply because Bonsai markets both together.

The work it supports

Core capabilities

Create a client project to keep tasks, messages, time entries, files, billing and expenses in one dashboard. Proposals, contracts, forms, uploaded files and links can be attached to the project record so delivery work stays connected to the client scope.

Organize delivery into task lists with assignments and dependencies, then use views for deadlines, workload and progress. Log time and expenses against the same project; this gives a basis for checking effort and budget before billing.

Project activity can keep sent or forwarded emails and internal comments. The Help article says messages handled in that activity area do not notify a client, so use a client-facing channel when an update must actually reach them.

Time entries have non-billable, unbilled and billed states. On an invoicing-enabled plan, an operator can generate an invoice from unbilled project hours with a timesheet, then choose a breakdown by task, service, role or date. Review the statuses and time range before sending the invoice.

Set a project budget by fee or hours and decide whether usage comes from billable time, expenses or both. The budget view can show what has been used and what remains. Match the selected calculation to the project contract before relying on the progress indicator.

On an eligible plan, the client portal can expose project details, invoices and shared files. Owners and Partners manage access and can preview a client’s view. Task collaboration must be enabled, so test the chosen client’s visibility before inviting them.

Portal messages can send an email notification to the client, unlike the internal Project activity email log. Assign a Project Manager role where operational access is needed without invoice or rate visibility, and test the specific user’s permissions before using real financial data.

Pricing and getting started

The pricing page separates four tiers. Basic covers time, tasks, projects and CRM. Essentials adds invoices/payments, proposals/contracts, forms, scheduling and the client portal. Premium adds Gantt, workload, project insight and reports; Elite adds custom permissions and timesheet controls with a three-user minimum.

The viewed annual-billing display shows per-user monthly equivalents of $9 Basic, $19 Essentials, $29 Premium and $49 Elite, paid annually. The monthly-billing display shows $15, $25, $39 and $59 per user per month respectively. Confirm the currency, tax, seat count and exact checkout total for the buyer’s region.

The site advertises seven days of full trial access. After that, it prompts the user to select a paid plan and provide a card to continue. Test the workflow on the tier the business expects to buy, since trial access can expose rights that Basic lacks.

Bonsai’s free Limited state after cancellation or downgrade permits viewing existing documents and managing projects, tasks and time, but blocks new invoices and client documents. Export form responses and verify the account’s actual post-cancellation rights before depending on that state as an operating plan.

For invoice collection, official Help lists Bonsai Payments, Stripe Payments and PayPal Payments, with different regional reach. Bonsai Payments is listed for the US, Canada, UK and Australia; Stripe Payments is listed for Stripe-supported countries except India. Processing fees vary by method, country and provider.

Look a little closer

Before you choose

Run a fictional client project from tasks and time entries through a budget review and draft invoice. Confirm that the chosen plan allows each step, especially turning unbilled hours into an invoice; Basic does not list invoices or payments.

Preview the client portal with the actual visibility settings before granting access. Check which project files, tasks and billing information the client sees, and distinguish internal activity logging from messages that generate a client email.

Choose the subscription using seat count, billing term and the specific Premium or Elite rights needed. Elite starts at three users; integrated payments depend on provider and country and bring separate processing fees. Confirm the complete regional quote before purchasing.

Before ending a paid subscription, export records the business needs to retain and check the Limited plan’s restrictions. Existing documents remain visible, but new invoices and client documents cannot be created or sent in that state.
