AppFlowy

What it does

AppFlowy combines team documents and wikis with databases and project work in one workspace. A team can start a knowledge base from a wiki template, write and review pages together, then link the material to working records. It offers managed Cloud and self-hosted deployment paths; plan and server choice matter for collaboration, AI and storage.

Who it is for

It suits teams that want policies, project notes or internal guides near the work they describe. Editors can work on a page at the same time, leave comments at a specific block and mention a colleague or guest when a section needs attention.

A team choosing self-hosting should plan for its own server operations and client/server compatibility. AppFlowy's desktop 0.14.6 release notes required AppFlowy Cloud server 0.19.0 or later for that client version; check the requirement for any newer client before upgrading. Confirm the intended AI plan separately rather than assuming local models arrive with every install.

The work it supports

Core capabilities

Create documentation from wiki templates and edit pages together. Inline threads keep discussion beside the relevant block, while document version history lets an editor preview and restore a previous state.

Use mentions to bring members or guest editors back to the relevant page. AppFlowy describes notifications for mentions, making them useful for requesting input; a mention itself should not be treated as a formal approval workflow.

Organize access at both Space and page level. A restricted Space can still grant a selected person access to one page, so test what that person can see before storing sensitive guidance there.

Database rows function as pages that can be referenced and shared, or recovered from Trash. Shared boards support task/status work alongside documents, so a project record can sit near its explanatory notes.

Build a form from database properties to collect a request or survey into that database. AppFlowy describes both external sharing and authenticated internal forms; choose the intended audience deliberately before publishing a form link.

AI search is presented as a way to ask questions grounded in workspace sources. For self-hosted deployments, the vendor separately names on-premises Qwen and custom embedding models on One, Team and Enterprise plans; check the actual plan, model setup and data path before using it for private material.

AppFlowy's desktop 0.14.6 release notes describe PDF and Word imports into editable pages for server-backed workspaces, with warnings about unsupported content. Test a representative document and confirm its formatting, attachments and searchability after migration.

Pricing and getting started

On the captured Cloud pricing page, Personal is shown at $0 per month. Its grid lists one workspace owner, up to 100 MB of storage, a 7 MB upload limit and seven days of version history. AI meeting notes and transcripts are marked as limited trials.

Cloud Pro is shown at $12 per member per month with annual billing, or $16 with monthly billing. AppFlowy bills each Pro workspace separately; the table also shows longer version history and broader storage/upload allowances. Confirm the checkout currency and current limits before relying on a quoted total.

Cloud paid subscriptions renew until canceled. Added members are prorated; removing one does not credit the current billing period, though that paid seat can be reused. Cancellation moves the workspace to Personal and may restrict content above its limits.

Self-hosted AppFlowy is a distinct deployment choice, not the Cloud Personal/Pro grid applied to your own server. Confirm server capacity, backup and AI entitlements with the chosen self-hosted plan. Desktop/server version requirements can force a coordinated upgrade.

Look a little closer

Before you choose

Pilot one harmless wiki page with an editor and a guest: co-edit it, comment on a block, restore an earlier version and test access to a restricted Space. Verify the guest cannot browse neighboring pages that were not shared.

Before moving a knowledge base, try importing one PDF and one Word file into a server-backed workspace, then inspect the resulting page and a single-page PDF export. The Cloud grid distinguishes single-page export from Pro's subpage-inclusive option; do not assume either is a complete workspace backup.

For a paid team, count members per workspace and include proration in the first bill estimate. For self-hosting, validate the desktop/server pair and actual AI service setup in a test workspace before committing sensitive documentation.
