Find your fit
Who it is for
It suits a project team willing to design a simple shared data model instead of adopting a fixed task board. Define the project, task and request records first, then choose the fields, relationships and views each role needs. That setup work is the tradeoff for a more adaptable workflow.
Airtable can fit teams coordinating project intake, routing and reporting across functions. Its official project page names integrations with tools such as Jira, Asana and Slack, but a buyer should verify the precise sync direction, permissions and plan before making it a source of truth.

Core capabilities
A base is a collection for one project or workflow. Tables hold records, and fields store each record’s details. A practical starter might keep projects and tasks in separate related tables, with owners, dates and status fields chosen by the team rather than imposed by a template.
Linked records, lookups and rollups can connect information across tables. Model one sample project and its tasks with fictional data before importing a large spreadsheet, so dependencies and access rules are clear.
Views present the same table data in different ways. Grid, calendar, kanban, timeline, list, form and other view types are documented; filters and hidden fields can give collaborators a focused working surface. Check the plan rights for a particular view before making it essential to the rollout.
Project managers can configure workflows, fields, dashboards and automations without code. The project solution describes intake and routing, progress tracking and resource planning. Start with one real decision the team needs to make, then build the smallest view that supports it.
Automations connect triggers with actions for repeated steps or communications. A trigger uses tables in its own base, so cross-base behavior needs a supported workaround. Test changes with fictional records and inspect the action log before sending live notifications or updates.
Airtable’s project page names Jira, Asana, Smartsheet, Slack, Excel and Salesforce among integrations or syncs. Check each connector’s direction, frequency, field mapping and access, especially if two systems may edit the same project status.

Pricing and getting started
The viewed official pricing FAQ lists a no-cost Free tier, Team at USD $20 per user/month billed annually, Business at USD $45 per user/month billed annually, and quote-led Enterprise Scale. These are displayed starting terms; confirm currency, taxes, billing cycle and any sales-led agreement for the buyer’s location.
Team and Business billing is driven by edit permission to at least one base in a workspace. Read-only collaborators, form submissions and share links do not generate a seat charge under the viewed policy. Count the people who will actually edit, and inspect permissions before inviting external collaborators.
The current support matrix lists records per base at 1,000 on Free, 50,000 on Team, 125,000 on Business and 500,000+ on Enterprise Scale. API-call limits also differ. Existing bases remain if a record or attachment cap is reached, but adding more data is blocked until the plan changes; automation and API use are capped at their limits.
Business can be purchased self-serve or through Airtable sales; Enterprise Scale is sales-managed. Business and Enterprise Scale require a private email domain under the current support guidance. Ask about the exact agreement, admin requirements and eligibility before planning on those tiers.
Airtable says every plan includes a pool of monthly AI credits, shared at workspace level for Free/Team and organization level for Business/Enterprise Scale. Credit quantities and feature rights depend on the plan and usage, so price AI work separately after the core project workflow is proven.

Before you choose
Before choosing Airtable, sketch the tables, linked records, field ownership and views for one representative project. Too many duplicate tables or unclear relationships can make a flexible base harder to maintain; test with fictional records and a small team first.
Estimate costs from editors, data volume, automation and API calls rather than from headcount alone. A read-only stakeholder can be free under the viewed policy, while an editor and a large record set may change both seat cost and tier choice.
The platform’s AI and integration pages describe possibilities, but do not establish that every capability is enabled in a given workspace. Verify feature rights, credit use, sync behavior and permissions with a current plan quote before loading confidential project or customer data.
