Find your fit
Who it is for
It suits a restaurant operator coordinating front- and back-of-house shifts, especially when managers need employees to see published changes and request swaps from a mobile app. Define each location and department carefully: those assignments affect which schedules staff can see.
A multi-location group should check its account structure before rollout. The subscription plan and add-ons apply across locations, while staff schedule visibility is tied to location and department assignment. Test a manager and employee in each representative location before assuming one setup fits all.
The work it supports
Core capabilities
Managers can publish a full schedule or selected departments, roles, days and individual assigned shifts. This helps with a late change without necessarily republishing every shift. Publication permissions depend on the manager’s assigned locations and departments.
Unpublished shifts are hidden from employees. After publishing, staff can view the shifts for their assigned locations and departments; a role such as server or bartender by itself does not determine visibility. Check a test employee’s view before treating a draft as communicated.
Employees can use the mobile app to view schedules, provide availability, request shift swaps and clock in. Managers can approve requests and send announcements. A rollout should confirm that staff receive their invitation and know which manager handles changes.
Recorded time can come from 7punches or from a POS that supports labor sync. Both feed the Time Clocking hub, where Admins and Managers review and approve hours. Confirm that the specific POS and clock method you use are supported before relying on a labor feed.
Only approved punches appear in payroll reports. Review missing or disputed punches for the pay period before exporting; a clean schedule alone does not mean the recorded hours are complete.
Managers can add or edit a missed punch in 7shifts, but the Help guide says a manually added or edited punch is automatically approved and will not sync back to the POS time clock. Where a POS is the source of record, correct it there and reconcile the two systems.
For an external payroll provider, exports and setup are provider-specific. Time clocking and payroll can be configured separately, so compare the required approval, mapping and export steps with your actual provider rather than assuming a universal one-click handoff.
7shifts also offers its own Payroll solution. With full setup it can draw on timesheets and tips to calculate wages and taxes and generate year-end forms. Admins manage its setup in the web app; that is a separate eligibility decision from using 7shifts for scheduling or time clocking.

Pricing and getting started
Official billing Help says active paid subscriptions are billed monthly or yearly, excluding free trials. A selected plan and add-ons apply to all locations, generally at a consistent per-location rate, with exceptions for pay-per-use add-ons. Get an account-specific quote or checkout view that names locations, plan, billing term and add-ons.
Ask for the current plan price and feature entitlement for your intended location count. Compare scheduling, time clocking, payroll and any pay-per-use add-ons in the actual offer before treating them as one included bundle.
Built-in 7shifts Payroll requires a restaurant physically operating in the United States, an active paid plan and time-clock data from 7punches or an integrated POS. For each EIN, employee payments use one business bank account; a multi-EIN account may use a separate account per EIN. Confirm the current payroll offer and bank setup before counting it as a usable option.
A business with more than one EIN may qualify for Multi-EIN Payroll within a single 7shifts account. That feature needs support confirmation and activation, and locations must share a pay schedule and frequency. Discuss entity structure, wage types and reporting with 7shifts before assuming one account can handle every location.
Look a little closer
Before you choose
Before adopting, build one representative schedule, publish a controlled change and check what an employee in each location and department can see. Draft shifts stay hidden, and managers need the right permission and assignment to publish.
Rehearse one pay period with nonproduction or fictional data: capture punches, correct a missed one, approve the hours and inspect the resulting report or provider-specific export. Pay attention to the automatic approval of manually edited punches and the lack of sync back to a POS.
If locations have different EINs, do not force them into one legal-entity payroll setup. Ask 7shifts to confirm the Multi-EIN workflow, one bank account per EIN, common pay frequency and how separate payroll runs will work for staff who cross entities.
